Apply conditional formatting to your cells
With conditional formatting, you can predefine the format that you want your cells to have, based on a few criteria. Zoho Sheet lets you format your cells with four different types of conditional formatting. They are,
- Classic Conditional Formatting.
- Color scales
- Icon sets
- Data bars
To apply single-color/classic conditional formatting,
- Click on the Format menu.
- Select the Conditional Formatting option.
- Click on Classic from the drop down.
- From the side pane, select the range of cells you want the conditional formatting to be applied to.
- You can format the cells based on cell value, text, date, cell content or a formula.
- You can specify how you want the cells to be formatted, by customizing the color, font style, font size etc.,
To apply color scales as conditional formatting,

Click on the Format menu.
- Select the Conditional Formatting option.
- Click on the Color Scales option from the drop down menu.
- From the side pane that appears, select the range of cells to which the conditions are to be applied.
- Specify the colors to be applied to each cell, based on the "Minimum", "Maximum" and the "Midpoint" criterion that you provide. These values are by default automatically calculated if you don't provide them.
- Hit Ok.
To apply color schemes as conditional formatting,
- Click on the Format menu.
- Select the Conditional Formatting option.
- Click Icon Sets from the drop down.
- From the side pane, specify the range of cells to which the Icon Set based formatting is to be applied.
- Choose the Icon Set you seem fit, from the list of sets available.
- Set rules for the cell values and specify the icons to be shown when the criterion is met.
- Hit Ok.
Data bar is one of the conditional formatting options that lets you visualize the desired data in the form of bars. Since the length of the bars will vary with respect to the values, it is easy to have an overview of the data.
To apply data bar:
- Select the range of cells for which you wish to apply data bars.
- Go to Format > Conditional Formatting > Data Bar.
- Choose any preferred color from either Gradient or Solid.
- To customize the color, go to Data Bar > Customize.
- From the side pane that appears, choose the type of fill under Fills.
- Pick the colors for Positive and Negative values using the drop-downs.
- Once you're done, click Apply.
Other customization options in the side pane include:
- Minimum and Maximum - Allows you to select the type of value you wish to give for maximum and minimum values.
- Borders - Allows you to pick the border type and also the border color for positive and negative data bars.
- Axis Position - Allows you to select the axis for the data bars. The three types of axis positions include:
Automatic - The axis position will depend on the length of the positive data bar.
Midpoint - The axis position will be at the center of the cell.
None - The axis position will depend on the length of the negative data bar.
- Direction - Allows you to select the direction of the data bars.
Source - Allows you to edit the cell range for which you wish to apply conditional formats.
Rule type - Allows you to change the type of conditional formatting.
