Send a swap request
Swap in Zoho Shifts lets you exchange a scheduled shift with a coworker when you’re unavailable to work your assigned one. You can request to swap your shift with one of your coworker’s upcoming shifts that matches your position and schedule.
Before you start
- Your administrator must allow swapping shifts in your organization.
- You can only swap with employees who are mapped under the same schedules and positions.
- Depending on your organization’s settings, swap requests may require a manager’s approval.
- You remain responsible for your assigned shift until your swap request is accepted/approved.
- You can enable Shift swap/offer/drop requests notification under my profile.
To send a swap request

- Open the Zoho Shifts mobile app.
- Tap Schedule at the bottom of the screen.
- Choose the shift you want to swap from My Schedule.
- Tap Swap.
- Enter a reason for the swap (optional).
- Select the shift you want to swap with.
- Tap Send.
If you decide to keep your shift, cancel the swap request before it is accepted/approved. You can open the request you want to cancel from the Request page, then tap decline.
On web
- Navigate to Schedule > My Schedule.
- Click the assigned shift you want to swap.
- Click Swap in the Shift Detail window.
- Enter a reason for the swap (optional).
- Select the shift from the eligible shifts that you want to swap with.
- Click Send Request.
If you decide to keep your shift, cancel the swap request before it is accepted/approved. You can open the request you want to cancel from the Request tab, then select Cancel Request.
What happens next
The selected employee receives a notification of your request and can either accept or decline it. If the employee accepts, what happens next depends on your organization’s approval settings:
- If manager approval is disabled, the shifts are exchanged automatically once the other employee accepts the request.
- If manager approval is enabled, your manager can approve or deny the request.
- If approved, the shifts are exchanged in both employees’ schedules.
- If denied, both employees keep their original shifts.
