You can import employees in bulk using a CSV or XLSX file into Zoho Shifts, which helps you set up your team structure faster. During the import, Zoho Shifts creates employee profiles, and either maps them to existing schedules and positions or creates new ones based on the data in the file.
Before you start
To import employees for your organization, you’ll need the Administrator access level or the Add, edit employees permission enabled. Managers can only import employees to their assigned schedules.
To import employees
- Navigate to the Employees tab.
- Click More actions (•••) on the right side of the employee's row.
- In the Upload file section, use the sample file format to prepare the employee list for import, then upload the file either in CSV or XLSX formats.
- Select Skip if you already have records for existing employees and don’t need to make changes, or select Update to replace or refresh employee details using the data in your import file.
- Choose Comma ( , ) or Semi-Colon ( ; ) as the file delimiter if you have uploaded a CSV file.
- Click Next.
- In the Map Fields section, fields are matched to the sample file structure. You can review the matched data or manually update any fields as you prefer.
- Click Next.
- In the Preview section, review the data to be imported, skipped, and created, along with the unmapped fields.
- Click Import to finalize the import process.
