Publishing shifts

Publishing shifts ensures that every employee with access to Zoho Shifts is notified of their schedule and can view and take action on shifts only when they are published. This article explains how to publish shifts and communicate changes.

Before you start

To publish or unpublish shifts, ensure you have Administrator access or the Publish schedule permission. You can publish shifts only for schedules you are assigned to.

You can publish individual shifts or an entire schedule, depending on your requirement.

To publish multiple shifts

  1. Go to Schedule > Schedule Editor.
  2. Click Publish in the top-right corner.
  3. In the Publish Shifts window, select one of the notification options:
    1. Notify employees with changes: Notifies only the employees whose shifts have been created, updated, or changed since the last publish.
    2. Notify all employees: Send notifications to all employees, even if their shifts are unchanged.
    3. Don't notify, just mark as published: Marks shifts as published without sending notifications to the employees.
  4. Click Publish Shifts.
Publishing shifts is based on the calendar view you’re using. The action applies to the shifts visible in your current day, week, bi-week, or month view.

To publish a single shift

After creating or editing a shift, click Actions at the bottom of the shift window and select Publish. This publishes the shift and notifies the employees associated with or eligible for the shift.
On mobile

To publish multiple shifts

After creating shifts on the mobile app:
  1. Tap Send (icon) at the top-right corner of your screen to publish multiple shifts.
  2. Select one of the notification options:
    1. Notify employees with changes: Notifies only the employees whose shifts have been created, updated, or changed since the last publish.
    2. Notify all employees: Send notifications to all employees, even if their shifts are unchanged.
    3. Don't notify, just mark as published: Marks shifts as published without notifications.

To publish a single shift

After saving the shift, tap the shift, then select Publish in the Shift detail window.

Unpublishing shifts

Unpublishing a shift hides it from the employee’s view. You may want to unpublish a shift if it was published by mistake or if you need to make changes before sharing the schedule again. Once unpublished, employees can no longer view or take the shift until it is published again.

To unpublish multiple shifts

Open the Schedule Editor and go to Tools > Unpublish Shifts and confirm the action in the Unpublish Shifts pop-up by clicking Unpublish Shifts.

To unpublish a single shift

  1. Click a shift from the Schedule Editor you want to unpublish.
  2. Click Actions at the bottom of the Shift Details window and select Unpublish.
On mobile
Unpublishing shifts is limited to individual shifts on the mobile app. To unpublish a shift:
  1. Open the Zoho Shifts mobile app.
  2. Tap Schedules.
  3. Tap the shift you want to unpublish and select Unpublish in the shift details page.
Once unpublished, you can edit the shift and publish it again when it’s ready to be shared.
