Create shift templates in Zoho Shifts for the shifts you use most often. Shift templates let you reuse a standard shift structure, so you don’t have to build shifts from scratch every time.
For example, if your organization typically works from 9am to 11pm, you can create templates for 9am to 1pm, 1pm to 6pm, and 6pm to 11pm across three shifts. Once you create shift templates, you can use them to schedule shifts.
Before you start
To create, edit, or apply shift templates, you'll need the Administrator access level or the Add, edit shifts permission enabled.
To create a shift template
- Click the Settings icon in the top-right corner.
- Select Shift Templates from the Schedule section.
- Click +Add Shift Template.
- Enter the shift start and end Times in the New Shift Template window.
- If your organization has set up Breaks and you want to include them in the template, click +Add Break. Select an available Break, update its duration if needed, and enter the Start Time.
- Select the Schedules for which you want the shift template created, then click Apply.
- Select the Positions for which you want to create the shift template, then click Apply.
- Enter Notes (optional).
- Click Save Shift Template.
To edit or delete shift templates
You can edit or delete a shift template using the Edit or Delete icons available corresponding to the Shift Templates. Editing a shift template will not affect shifts that have already been created or those that are currently scheduled. However, changes will apply to any new shifts that you create using the updated template. Similarly, deleting a shift template does not affect any existing shifts created using it in the Schedule Editor.
To apply shift templates
- Go to Schedule > Schedule Editor.
- Click a cell to create a shift and choose a shift template from the existing list of templates.
