Shift drops

You can allow employees to decline their shifts in your organization and convert the declined shifts to open shifts. You can enable and configure shift drop rules. This article explains what shift drop is, how to configure shift drop for your organization, when and how employees can offer shifts, and how to approve drop requests.

How shift drop works

When an employee can't make it to a scheduled shift, they can drop it so it becomes an open shift, which can be picked up by someone who's available to take it. To configure shift drop, you'll need the Administrator access level or the Manage account and other settings permission. To configure shift drop settings:
  1. Navigate to the Settings menu in the top-right corner.
  2. Select Preferences under Schedule.
  3. In the Shift Drop section, enable or disable the settings based on your requirements.
    1. Allow employees to drop shifts: This enables employees across the organization to drop shifts.
    2. Shift drop requires manager approval: If enabled, all offer requests created in this organization must be approved by a manager. If this setting is disabled, shifts are dropped instantly.
    3. Restrict offer when employees' schedule constraints are present: Limit shift drops that violate scheduling rules based on each employee's schedule constraints.
  4. Click Save.

Approve offer requests

When your organization has enabled manager approval for shift drop, the request must be approved by a manager. To approve a drop request, you'll need the Administrator access level or the Approve swap, offer, and drop requests permission.

  1. Go to Schedule > Requests.
  2. Click the Drop tab, then select the request that requires your approval.
  3. Enter your Comment (Optional).
  4. Select Approve or Deny based on your preference.

  1. Open the Zoho Shifts mobile app.
  2. Tap Requests at the bottom of the screen.
  3. Select the Drop tab from the request page at the top.
  4. Tap on the request that requires your approval.
  5. Enter your Comments (optional).
  6. Select Accept or Decline based on your preference.

If approved, the shift is made as an open shift for every employee to pick up. If declined, the employee who originally had the shift assigned to them retains it.
