Messaging Setup

Team communication is essential for any organization to stay productive. Zoho Shifts allows you to communicate with your employees effectively using direct messages, channels for different teams or schedules, or an announcement channel where only the channel admins can post messages to all the participants.

Set up messaging for the organization 

Admins can enable the Messages option for the organization so that all the employees are allowed to communicate with each other via text messenger.

To enable team messaging for organization

  1. Navigate to the Settings menu in the top-right corner.
  2. Select Messages under the Organization section.
  3. Use the toggle button beside Enable messaging to configure the setting.
  4. Click Enable Messaging in the confirmation popup window.
If this setting is disabled, the Messages tab will no longer be available to view previous chat conversations if any.

Messaging permissions  

Admins can mange the access level permissions for messages for the employees and managers. This will help the organization to have streamlined communication across the teams.
  1. Direct message  permission: Admins can allow or restrict employees from sending direct messages to other employees using this messages setting.  
  2. Manage channel  permission: Admins can provide access to employees to create channels, add and manage participants to the channels.

To configure  messages permissions:

  1. Navigate to the Settings menu in the top-right corner.
  2. Select Access Levels under the Employee section.
  3. Click Edit next to the access level available, such as Manager or Employee.
    The Edit Access Level window will appear.
  4. Select the Send direct messages under the Messages section to allow sending messages to colleagues.
  5. Select the Manage Channels box for employees to create a channel and add or remove participants.
  6. Click Save Access Level button at the bottom.
 
Notes
Note: Upon disabling the Send direct messages permission, employees will be able to view all the messages from managers and reply to the message, but they will be restricted from initiating chat messages.
