Setting up timesheet rounding

Rounding timesheets

In Zoho Shifts, you have the options to round the timesheet based on the your preferred increment and direction. This setting simplifies the payroll calculation and makes the payroll process easier and uniform by rounding the unnecessary shift times.

For instance, if one of your employees clocks in 5 minutes earlier than the scheduled time, you can use the timesheet rounding feature to remove the unwanted five minutes from tracking in the payroll process automatically.
 

Before you start 

  1. To set up the timesheet rounding, you must have admin access or access level permission to configure settings in your Zoho Shifts account.
  2. Rounding applies to employee's timesheet only when the clocking is done by the employee and does not apply to the manual entry after the shift hours.
  3. Rounding is applied only to the employee clockings after the setting is enabled and does not apply to the past time entries.
  4. Timesheet rounding option allows you to set time entries rounding to the nearest 5, 6, 10, 15, and 30 minutes as per your organization requirement.

To set up clock in/out time rounding: 

When this setting is enabled, the rounding applies to all clock ins regardless of the scheduling of the shift.
  1. Navigate to Settings -> Time & Attendance -> Time Clock -> Rounding.
  2. Use the toggle beside Round clock in time or Round clock out time to enable or disable the settings.
  3. Select the Rounding direction from Up, Down, or Nearest.
  4. Choose the Rounding increment based on your payroll requirement.
  5. Click the Save button at the bottom
 
Once you enable and set the rounding parameters, whenever employee clocks in or out, the clock in/out time entry will be added based on the setting in their timesheet.


Idea
Rounding up: You have set 15 mins rounding increment and rounding direction as up for rounding clock in. When an employee clocks in at 8:05 am, the clock in time entry will be marked as 8:15 am in the timesheet.

Rounding down: You have set 5 mins rounding increment and rounding direction as down for rounding clock out time. When an employee clocks out at 4:20 pm, the clock out time entry will be marked as 4:15 pm in their timesheet.

Rounding nearest: You have set 15 mins rounding increment and rounding direction as nearest for rounding clock out time. When an employee clocks out at 4:20 pm, the clock out time entry will be marked as 4:15 pm in their timesheet.


To set up clock in/out time rounding to scheduled shift start/end time: 

This setting applies to rounding of all clock in/out only for the scheduled shifts. When the clock in/out time exceeds the grace period, the rounding doesn't apply and the actual clock in time is added to the timesheet.
  1. Navigate to Settings -> Time & Attendance -> Time Clock -> Rounding.
  2. Use the toggle beside Round clock in time to scheduled shift start time to enable or disable the setting.
  3. Use the toggle beside Round clock out time to scheduled shift end time to enable or disable the setting.
  4. Enter the Grace period in minutes that you want to allow for rounding to shift the start time.
  5. Click the Save button at the bottom
 
Once you enable this setting and set the grace period, whenever an employee clocks in/out to their scheduled shift, the shift start/end time is added as their clock in/out time respectively, if the actual clock in time is within the allowed grace period.


Idea
Scheduled shift clock in rounding: You have set 20 minutes as grace period. When an employee clocks in at 2:18 pm for a 2:00 pm shift, the clock in time entry will be marked as 2:00 pm in their timesheet.  

Scheduled shift clock out rounding: You have set 10 minutes as grace period. When an employee clocks out at 7:55 pm for a shift that ends at 8:00 pm, the clock out time entry will be marked as 8:00 pm in their timesheet.
