Zoho Flow is an integration platform that helps you connect two different apps without any code. It works on the trigger-action methodology, where when an event is triggered in an app, you can instruct another app to perform an action.
For example, when Zia at CRM generates a monthly report, you can instruct Show to create a presentation using the report. Here, creating a new report is the trigger, and creating a presentation is the action.
Zoho CRM + Zoho Show
With the CRM integration with Show you can create a presentation for any trigger in CRM. For example, if a new lead is created in CRM and you want to create a presentation in Show with the lead details.
Trigger: Create a new lead in Zoho CRM.
Action: Create a new presentation in Zoho Show.
- Open Zoho Flow.
- Click CREATE FLOW.
- Enter the Flow name, add a description (if necessary), then click CREATE.
- From the Choose what triggers the flow screen, click App, search for Zoho CRM and click NEXT.
- Choose the Zoho CRM Trigger New lead and click NEXT.
- In the New lead page, enter a variable name and click DONE.
Variables added in the presentation will be available in the form of data fields that you've configured in Show.
You will have to provide permission for Flow to access your CRM account information.
- Search for Zoho Show in the left of the builder to view the action (here, Create a presentation).
- Drag Create a presentation (Action) and drop it below New Lead (Trigger).
Connection, Variable Name, and Team details will be automatically populated.
A connection is an app account that Zoho Flow has permission to exchange data with.
- Choose the required template from the dropdown.
- The data fields assigned in the presentation template will be listed below.
- From the right pane, click New Lead.
- Map the data values from CRM to your presentation.
- If you want to publish the presentation externally, choose True or False and click Done.
- Once you land on the builder screen, switch ON Flow to let it work with the actual data.
Now, when a new lead is created in CRM, it will create a presentation with the created template.
Zoho Campaigns + Zoho Show
With Campaigns integration with Show, you can schedule a campaign report to be created as a presentation in Show. For example, say you are running an email marketing campaign and want the reports to be created as a presentation. You can schedule the date and time of when you want to create the presentation.
It is mandatory to create a presentation with data fields to integrate with Flow. You can also choose to add this presentation as a template to your org's library to repurpose it. Trigger: A campaign report is completed in Zoho Campaigns.
Action: A presentation is created in Zoho Show.
- Open the Zoho Flow app.
- Click CREATE FLOW.
- Enter the Flow name, a description for the Flow, and click CREATE.
- From the Choose what triggers the flow screen, click CONFIGURE next to Schedule.
- Choose the Frequency of the flow to be scheduled and set a date and time for the presentation to be created, then click APPLY.
- Click DONE at the bottom.
- In the builder screen, search for Zoho Campaigns within the APPS in the left pane.
- Click the Fetch Campaign Report trigger and drop it below Schedule Once.
- From the Fetch campaign report screen, choose a Connection, assign a Variable Name, select the Portal, and select the name of the presentation template in the Campaign Key.
- Click DONE.
- In the builder screen, search for Zoho Show within APPS in the left pane.
- Drag Create a presentation (Action) and drop it below Fetch Campaign report (Trigger).
The data fields assigned in the presentation template will be listed below. - From the right pane, click Fetch Campaign Report.
- Map the values from Campaign report to the data fields.
- Edit the presentation name.
- If you want to publish the presentation, choose True or False and click Done.
- Once you land on the builder screen, switch Flow ON to let it work with the actual data.
Now on the date scheduled, the campaign report will be created as a presentation.
