What is Export Management

The Export Management section in Zoho Survey refers to the set of features and controls that allow users to export survey data and responses into various formats for offline analysis, reporting, or sharing across Zoho Survey.
 
Exports essentially acts as a common repository for all the file downloads from Builder, Languages, Audit logs, Email Distribution, SMS.

How is Export Management useful

The Export Management feature helps in offline analysis, sharing Reports with stakeholders (without access to Zoho Survey), and facilitates backup or archival of survey data.

How to use the Export section 

If you are a first time users:
  1. Navigate to Survey > Builder > Reports.

  2. Click on Export, then choose the file type in which you wish to export the data.

  3. Name the file and click Export.

  4. Click Go to Exports on the info tip. You'll be able to see a new section called Exports in the left bar.
  5. In the Export section, you'll be able to view the downloaded file.

How to Check the Status of file exports 

Follow the steps below to check the status of file exports:
  1. Navigate to Survey > Builder >Exports.
  2. In the Exports section, the status of the download shall be visible under the Status section.

Note:
Large files that take time will be scheduled, and once completed, you will receive an in app notification.

How to check the Expiry  of downloads in Exports 

In general, every file downloaded will be available for a duration of 15 days in Exports. However, to keep track of the expiry limit, follow the steps below to check the status of file expiry:
  1. Navigate to Survey > Builder > Exports.
  2. In the Exports section, check the remaining number of days for file expiry under the Expiring in column.

How to Download  files from Exports

Follow the steps below to download files:
  1. Navigate to Survey > Builder > Exports.
  2. In the Exports section, click on the Download button adjacent to the file you wish to download.

How to use Filter   

Using the filter in the Exports section makes it easy to locate the downloaded files based on various parameters like File name, Question, or metric. In addition, the search bar can also be used to find any exported file.

Follow the steps below to use it:
  1. Navigate to Survey > Builder > Exports.
  2. In the Exports section, click the Filter icon and scroll down to search across various parameters.

How to Delete file exports   

Follow the steps below to delete downloads from the Export section:
  1. Navigate to Survey > Builder >Exports.
  2. Hover over the file you wish to delete, and the Delete icon will be shown.

  3. Click Delete and give confirmation for the pop-up warning.

How to Delete Multiple files from Exports

  1. Navigate to Survey > Builder > Exports
  2. In the Exports section, enable the checkbox at the top-left corner.

  3. After selecting all the files to be deleted, click the Delete icon in the top-right corner.

  4. Give confirmation for the pop-up warning.

FAQ 

  1. Will all the exported files be available in the Exports?
    Yes. All the data exported from Builder, Language Settings, Audit Logs, Reports, Email Distribution, and SMS will be downloaded to the Export section automatically.
  2. Can multiple files be exported at a time?
    As of now, only one file can be exported at a time. However, you can delete multiple files together from the Exports section.
  3. Can we extend the expiration duration?
    Once a file is downloaded, it will be in the Export section for 15 days. If you wish to extend the duration, you will need to delete it and download it again.
