Integrating surveys with Zoho Recruit enables the automated addition or updation of candidate records in Zoho Recruit from Zoho Survey's responses. When Zoho Recruit fields are mapped with their respective survey questions, the survey answers given by users are added to the respective Zoho Recruit fields automatically.
Use Cases:
As an HR, you are supposed to collect the bio-data of all the candidates who attend your organization's interview. You prepare a survey that has questions regarding the candidates' contact information and educational background. Next, you map the survey questions with the respective Zoho Recruit field. Finally, you send the survey to all the candidates in your mailing list and once they submit survey responses, all the information will be added or updated in the corresponding Recruit contact.
To Integrate Zoho Recruit with Zoho Survey:
- Select the Hub tab.

- Select the Integrations section.
- Click Integrate in the Zoho Recruit section.
- Select a Recruit module.
- Click Next.
- Select an appropriate action type. There are three ways to sync responses with Zoho Recruit: add record, update record, and add/update record. After selecting an action type, you can map the fields of your survey to Zoho Recruit and start transferring data from survey responses to Zoho Recruit.
- Add record: Add a new record for each response even if there are duplicate records.

- Update record: Update an existing record in Recruit. If you are sending your survey through Zoho Recruit, you can opt to enable Prepopulate survey answers with the information from Zoho Recruit. When a respondent opens the survey, the details from Zoho Recruit will be shown and will have an Edit option. For example, if the user's name and email address are already available in Zoho Recruit, they will be displayed in the survey.

- Add/Update record: Sync responses in two ways under this action type:

- When sending the survey through Zoho Recruit, the record will be updated based on Zoho Recruit's unique record ID.
- When sending the survey directly to the respondent, the record will be updated based on the system-defined duplicate check field followed by user-defined unique fields. If a record with an identical value exists in Zoho Recruit, it will be updated with the new values. If not, a new record will be created in Zoho Recruit. You can also arrange the unique fields in the order of preference for upsertion.
- Map Zoho Recruit fields to the corresponding Zoho Survey questions that you want to update.
- Under Zoho Survey, click the dropdown and select the questions that will map to a Recruit field.
- Select the corresponding field name under Zoho Recruit.
- To add direct values to your Recruit field, select the required Direct value like Checkboxes, Date field, Number, URL, Individual response URL, and Response start/end time under Zoho Survey. Type in the corresponding value. If you don't have a suitable Recruit field already, you create a custom field in Zoho Recruit and then map the field to the question.
- Click + to add a new row.
- Click x to remove a row. If you have a Signature or File Upload question in your survey, enable the option by clicking the corresponding checkbox under questions in the Attachment. Enable the other required questions and documents from their checkboxes as well.
- Click Map to map question options to Recruit field values and click Map.
- To attach individual responses as PDFs in your Recruit records, select the corresponding checkbox.
- Click Save.
To check the status of your integration:
- Select the Hub tab.
- Select the Integrations section.
- Click Integrate in the Zoho Recruit section.
- Select a Recruit module.
- Click Recruit Sync Status in the upper-right corner of the section.

- Successful: Responses that have been successfully integrated into Recruit.
- Untried: Responses that haven't been pushed to Recruit.
- Failed: Responses that failed to sync with Recruit.
- Sync All: Sync all responses at once.
- Edit a response: Hover over the response and click
. - View a response: Hover over the response and click
. - Sync responses individually: Hover over each response and click Sync.
- Delete a response: Hover over the response and click Delete.
To remove an integration:
- Click the Hub tab.
- Click the Integrations section.
- Click Remove Integration in the Zoho Recruit section.
- Click Remove.
Behaviour:
- The Zoho Recruit integration will be displayed under the 'Apps and Services' section of the survey setup page. Once the user connects to the Recruit integration, the Recruit portal ID and name of the portal will be listed.
- If a user wants to connect to another recruit portal, should remove the existing portal and reconnect with the portal that he/she wants to integrate.
- If a survey is integrated with Zoho Recruit before publishing, all of the responses will be synced automatically. If it's integrated after publishing, only the responses received after the integration will be synced automatically. In case of partial responses and the responses collected previously, you'll have to sync the previous responses manually.
- You'll find the custom domain link in Send Email and Templates within Zoho Recruit if you've configured a custom domain in the survey. For existing templates, you can always edit and save the custom domain link.
- The direct values for various Recruit fields are as follows:
- Checkboxes - true/false/True/False
- Date field - Date in YYYY-MM-DD format
- Number - Map with a numeric field in the survey
- URL - Map with a valid URL format
- Individual response URL - Map with the Recruit URL field
- Response start/end time - Map with the Recruit Date/Time field
- For example, if you want to enable or disable a Recruit checkbox field from the survey, you can add a direct value and type True.
