Create an Email Invitation Trigger on Zapier

Send email invitations to your respondents based on actions from other applications by connecting your Zoho Survey account with automation services like Zapier. Through this, respondents can receive feedback emails for purchasing a product on an e-commerce site, or for attending a course online.

Use Cases:

As a marketing executive for an e-learning platform, your task is to email students who have finished a basic course, gathering feedback while also informing them about a discounted opportunity to enrol in an advanced course. To achieve this, utilize Zoho Survey to craft the email, then connect it via Zapier to your organization's CRM account, which holds student leads. This email celebrates their course completion and provides a special promotional code for the advanced course at an exclusive discounted rate.
As the owner of a cafe, your objective is to send feedback emails to customers who have recently experienced the new 'Zozo Burger'. To accomplish this, create a Zoho Survey email and link it via Zapier to your POS system, housing customer data for the burger purchasers. The email expresses gratitude for choosing the new burger, encourages feedback, and provides a sneak peek into an upcoming combo offer at your establishment as a token of appreciation.

To create an email invitation trigger:

  1. Go to Launch.
  1. Select Email in the left pane under Distribution.
  1. Click Create New.

  1. Click Create Email and continue with the upcoming actions.
  1. On the Send To screen, select Contacts based on triggers.
  1. Enter the trigger name.
  1. Click Create.
The template for your email invitation trigger has now been created. Open Zapier to continue the rest of the configuration.

To create an email invitation trigger on Zapier:

To connect Zoho Survey with Zoho People, you can use integrations with automation services to push the user data. Zapier is one such automation service through which this workflow can be set effortlessly. 
  1. Log in to your Zapier account.
  1. Click + Create Zap in the left pane.
  1. We are setting up an email invitation trigger for Zoho People through Zapier, so select Zoho Peoplefrom the Trigger App event dropdown.
  1. Select the required event in the Choose an event dropdown and click Continue to proceed.
  1. Select the required Zoho People account from the Choose an account dropdown and click Continue.  
  1. Click Sign in to log in to your Zoho People account.
  1. Select the Zoho People account from the account dropdown and click Continue.
    Note: If the Zoho People account is already logged in, you can directly continue with the account selection process.
  1. Select the required form's name from the Form Name dropdown.
  1. Click Continue
  1. Click Test Trigger and click Continue.
  1. Since we are integrating Zoho People and Zoho Survey, select Zoho Survey from the Action event screen.
  1. Select the Send email invitation event in the Choose an event dropdown and click Continue.
  1. Select the required department from the Department dropdown
  1. Select the required survey to integrate from the Survey dropdown.
    Note: Select the required collector to integrate from the Collector dropdown if your survey has collectors.
  1. Select the required Triggered Invitation from the dropdown.
  1. Map the survey parameters with the respective data fields from the dropdown provided below each field and refresh the fields with Refresh Fields as required. Once this is done, click Continue to proceed to the test action. Next, choose one of the following options:
    • Test action - Test the Action and proceed to the next step.
    • Skip test - Skip the test and proceed to the next step.
    • Click Publish to save the setup and Turn on the Zap. 
    • Click Publish and switch On from the upper pane to turn on the zap. 

To manage a triggered invitation:

  1. Go to Launch.
  1. Select Email in the left pane under Distribution.
  1. Under Overview, select Triggered Invitations.
  1. To view a triggered invitation, click on View.

  1. To edit a triggered invitation, click on ,
    1. Click Edit.
  1. To disable a triggered invitation, click on ,
    1. Click Disable.
  1. To enable a triggered invitation, click on ,
    1. Click Enable.
