Make your surveys secure with these safeguarding features by which you can determine how your surveys will be accessed and by determining who can access  reports  through sharing. You can set the visibility of a survey to public so that anyone can respond, or make it private to target specific groups. When you share a survey with a private group, only the members of that group can respond to it. This feature is useful for people who have registered as an organization with Zoho.

To make your survey public:

  1. Go to the  Launch   tab. 
  2. Click  Visibility  on the left pane. 
  3. Click  Public  to allow anyone to access your survey. This is the default setting. 
  4. Click  Save .

To make your survey accessible only to private groups:

  1. Go to the  Launch  tab. 
  2. Click  Visibility  on the left pane. 
  3. Click  Private  to publish your survey to a specific group. 
  4. Click  All Groups  to select any group from a list of all the groups. 
    1. Click  Organization Groups  in the dropdown list to select a group related to your organization. 
    2. Click  Personal Groups  in the dropdown list to select one of your personal groups. 

  5. Select the appropriate group in the  Select Group  dropdown list with whom you want to share the survey. The selected groups will be displayed.

    1. Click  Members  to view the list of members in the group. 
    2. Click  next to the selected group to cancel the selection. 
  6. Select the  Allow only one response per respondent  checkbox to prevent multiple responses from the same user. This restricts multiple responses from a single computer by using browser cookies. 
    Prevent multiple responses for your survey
    1. Select  Allow respondents  to update their responses if you want users to edit their responses whenever they want to. 
  7. Click  Save

Restrictions

Set restrictions on your survey and specify how many responses you want or when to  close your survey . You can also prevent the same user from entering multiple responses. 

To set an end date for your survey:

  1. Click  Restrictions  on the left pane of the Launch tab. 
  2. Select a date and time at which you would like to stop receiving survey responses in the  Survey end date  section. The survey will end at the time mentioned in the survey author's time zone.

To limit the number of responses collected for your survey:

  1. Click  Restrictions  on the left pane of the  Launch  tab. 
  2. Set a limit for the number of survey responses you receive in the  Response limit  section.

To enable or disable IP addresses:

  1. Click  Restrictions  on the left pane of the  Launch  tab. 
  2. Select  Collect IP address  to enable collecting IP address of the respondents in the reports. 
  3. Uncheck the selection to disable the action. 
  4. Click  Save.

To collect anonymous responses: 

  1. Click  Restrictions  on the left pane of the  Launch  tab. 
  2. Uncheck  Collect email address, first name, and last name  if you don't want to record respondent variables in the reports. Respondent variables are personal identifying information that are collected from automated sources like  Zoho CRM Zoho Campaigns email distribution , private groups under visibility. Unchecking this selection will not collect this information. All other data will be mapped and synced as per your setting, except the data passed through customized URLs. 
  3. Click  Save .

To collect geolocation:

  1. Click  Restrictions  on the left pane of the  Launch  tab. 
  2. Select Collect geolocation . Read more on enabling location access on your device .
  3. Click Save .

Note : When you post a survey on a Facebook page by using our Facebook distribution feature, the geolocation feature will not work adhering to Facebook's security policy.

To prevent multiple responses: 

  1. Click  Restrictions  on the left pane of the  Launch  tab.
  2. Select  One response per respondent in the Prevent multiple responses section if you want to restrict multiple responses from a single respondent.   
    1. One response per email  : Restricts multiple responses from a single respondent by generating a unique URL for every email address.
       
      You can restrict when a respondent can update their responses:
      1. Respondents can't update their response:   The respondents will not be able to open the survey once they submit it.
      2. Respondents can update their response until they complete the survey.
      3. Respondents can update their response at any time:   They can update the survey even after they've submitted it. 
    2. One response per unique URL  : Generate a unique URL for each respondent.

      You can restrict when a respondent can update their responses:
      1. Parameter name  : Type the parameter name that will be appended to the URL. 
      2. Do not allow URLs without the parameter  : Restrict responses that don't have a certain parameter. This will be added to the URL of the published survey. 
      3. Respondents can't update their response:   The respondents will not be able to open the survey once they submit it. 
      4. Respondents can update their response until they complete the survey:   They can update their responses until they submit it.
      5. Respondents can update their response at any time:   They can update the survey even after they've submitted it. 
    3. One response per IP address  : Restrict multiple responses from a single IP address. However, you'll need to enable the Collect IP address checkbox to use this feature. 

      You can restrict when a respondent can update their responses:
      1. Respondents can't update their response:   The respondents will not be able to open the survey once they submit it. 
      2. Respondents can update their response until they complete the survey.
      3. Respondents can't update their response at any time:   They can update the survey even after they've submitted it.
    4. One response per device  : Restrict multiple responses from a single device by using browser cookies. As the survey's metadata is being stored through browser cookies, if the respondent clears their browser history and cookies, a fresh survey will be loaded. Any previously submitted survey response (partial/complete) will be considered as a different response. 

      You can restrict when a respondent can update their responses:
      1. Respondents can't update their response:   The respondents will not be able to open the survey once they submit it. 
      2. Respondents can update their response until they complete the survey.
      3. Respondents can't update their response at any time:   They can update the survey even after they've submitted it.
  3. Click  Save

To allow respondents to save and update their responses:

  1. Click  Restrictions  on the left pane of the  Launch  tab. 
  2. Select  Prevent multiple responses  if you want to restrict multiple responses from a single respondent.

  3. Select the following to restrict when a respondent can update their responses: 
    1. Respondents can't update their response:  They respondent will not be able to open the survey once they submit it. 
    2. Respondents can update their response until they complete the survey:  Allow respondents to update their responses till they submit it.
    3. Respondents can update their response at anytime:  Allow respondents to update their survey responses any time—even after they've submitted it. 
  4. Click  Save

Geolocation

You can now collect your respondent's geolocation by enabling this option in Restrictions. The respondent's browser coordinates are captured from the first page of the survey, with their consent. In Reports, you can find the location details as respondent variables: country, and location (latitude, longitude, and address). You will also find Zoho Maps and Google Maps links to the respondent's location in individual responses.

Enabling location access on your device (Mac, Windows, Linux, iOS, and Android) allows your device to identify your location, as well as select applications on the device to use this information. If you're concerned with privacy and do not want to share your location details, you can disable this option at any point. However, most applications, such as Maps and Photos, recommend sharing your location access for better functioning.

To enable location services on Mac:

  1. Open System Preferences on your Mac device.
  2. Click Security & Privacy and select the Privacy tab.
  3. Click the lock icon in the bottom-left corner to make changes to the settings.
  4. Unlock it with your system credentials or touch ID.
  5. Select Enable Location Services .

To enable location services on Windows 10:

  1. Open Settings on your Windows 10 device.
  2. Navigate to Privacy .
  3. Click Location in the App permissions section on the left pane.
  4. Click Change and turn the Location access for this device toggle button On .

To enable location services on a Linux device:

  1. Open Settings on your Linux device.
  2. Click Privacy and select Location Services .
  3. Turn the Location Services toggle button On .

To enable location services on an iOS device:

  1. Open Settings on your iOS device.
  2. Click Privacy and select Location Services .
  3. Turn the Location Services toggle button On .

To enable location services on an Android device:

  1. Open Settings on your Android device.
  2. Click Location .
  3. Turn the Location access toggle button On .

Password Protection

You can protect your survey with a secure password.

To set a password for your survey:

  1. Click  Password Protection  on the left pane of the  Launch  tab. 
  2. Click  Enable

  3. Type in a strong password (six characters min) in the   Set a password   box. Rename the password or submit labels, if desired. 
  4. Complete the  Password request message  field to prompt users for a password whenever they try to access the survey. Customize the message as needed (255 characters max). 
  5. Fill in the  Incorrect password message  field to display an error message when someone enters the wrong password. Customize the message as needed (255 characters max). 
  6. Click  Save
  7. Turn the  Create online surveys  off in the top-right corner of the section to disable password protection. The knob will turn gray.
