Send Email Invitations Through Zoho Flow

Overview

Send email invitations to your respondents based on actions from other applications by connecting your Zoho Survey account with automation services like Zoho Flow. Through this, respondents can receive feedback emails for purchasing a product on an e-commerce site, or for attending a course online.

Use Cases       

As a marketing executive for an e-learning platform, your task is to email students who have finished a basic course, gathering feedback while also informing them about a discounted opportunity to enroll in an advanced course. To achieve this, utilize Zoho Survey to craft the email, then connect it via Zoho Flow to your organization's CRM account, which holds student leads. This email celebrates their course completion and provides a special promotional code for the advanced course at an exclusive discounted rate.
As the owner of a cafe, your objective is to send feedback emails to customers who have recently experienced the new 'Zozo Burger'. To accomplish this, create a Zoho Survey email and link it via Zoho Flow to your POS system, housing customer data for the burger purchasers. The email expresses gratitude for choosing the new burger, encourages feedback, and provides a sneak peek into an upcoming combo offer at your establishment as a token of appreciation.

How to create an email invitation trigger       

  1. Select the required survey and click the Builder option from the left pane.
  2. Go to the Publish tab.
  3. Select the required collector or click Add New Collector.
  4. For a new collector, under Email Invites by Zoho Survey, click Create, then select the Create Email option to begin composing your invitation.
  5. For an existing collector, click Create Email to begin composing your invitation.
            
  1. Click Next.
  2. Enter the sender information and click Next.
  3. On the Send To window, select Contacts based on triggers.
  4. Enter the trigger name.
  5. Click Create.
  6. The template for your email invitation trigger has now been created. Open Zoho Flow to continue the rest of the configuration.

Setting up Zoho Survey - Eventzilla Integration through Zoho Flow       

To connect Zoho Survey with Eventzilla, you can use integrations with automation services to push the user data. Zoho Flow is one such automation service provided by Zoho, through which this workflow can be set effortlessly.
  1. Go to My Flows on the left pane.
  2. Click Create Flow.
  3. Enter the required flow name in the Flow Name text box.
  4. Choose the folder in which the flow should be placed.
    1. To choose from an existing folder, click on the Home dropdown and select the required folder.
    2. To create a new folder, click New Folder.
  5. Enter information about the flow in the Description text box.
  6. Click Create.
  7. In the Choose what triggers the flow screen, click Configure under App.
  8. You can choose from a wide variety of applications available in the app selection screen. In this case, select Eventbrite and click Next.
  9. On the Eventzilla trigger selection page, choose the required trigger and click Next.
    1. To request a new trigger, click Request new trigger.
  10. Enter the Variable Name in the text box.
  11. Choose the available event from the Event dropdown.
  12. Choose the required filters from the Filter criteria dropdown.
  13. Click Next.
  14. In the left pane, search for Zoho Survey in the app search box and click on the dropdown next to it.
  15. Drag the Send email invitation event from the list of available events to the Builder section.
  16. Choose the required survey connection in the Connection dropdown from the upcoming screen.
  17. Rename the Connection Name in the textbox, if required.
  18. In the execution section, select All Triggers and actions if you want all the available options to take place. To choose specific triggers and actions, select Only specific triggers and actions.
  19. Select the required triggers and actions.
  20. Click Authorize.
  21. Choose the Portal ID by clicking on the Portal ID dropdown.
  22. Choose the required Department ID, Survey ID, Collector ID, and Triggered Invitation ID.
  23. The variable parameters will appear. Insert the variables for each text box by selecting them from the System Variables section on the right pane.
  24. Click Done.
  25. In the top-right corner, activate your flow by switching it ON

How to manage a triggered invitation

  1. Select the survey. Go to the Publish tab.
  2. Select the collector created for Private audience by Zoho Survey.
  3. To view a triggered invitation, click View.
             
  1. To edit a triggered invitation, click , then select Edit.
            
  1. To disable a triggered invitation, click , select Disable, and confirm the selection by clicking Yes, Disable.
            
            
            
  1. To enable a triggered invitation, click , then select Enable.

 The email invitation trigger in Zoho Survey can be set through Zoho Flow in the Plus, Pro, and Enterprise plans.
