Export Individual Responses

All the individual responses can be collected and exported as a report. Supported file types include: Spreadsheet, PDF, ZIP, CSV, SPSS, tableau extract, and Zoho Sheet.

How to export individual responses

Navigate to Reports > Individual Responses > Export in the top-right corner.
Choose your desired file format to export the report.
 

For Spreadsheets

  1. File Name - Give your file a unique name, or the survey name will be the default file name.
  2. Response Ordering - Select preferences of ordering responses from Oldest First or Newest First.
  3. Password - Choose to secure your file with a password.
 

For PDF

  1. File Name - Give your file a unique name, or the survey name will be the default file name.
  2. Orientation - Select the orientation as Landscape or Portrait.
  3. Paper size - Choose the paper size as A4 (210 by 297), US letter (8.5'' x 11'') or US legal (8.5'' x 14'' ).
  4. Response view - Choose the response view as All questions, Shown questions, or Answered questions.
  5. Response Ordering - Select preferences of ordering responses from Oldest First, or Newest First.
  6. Range - Select the range of responses.
  7. Password - Choose to secure your file with a password.
 

For ZIP

  1. File Name - Give your file a unique name, or the survey name will be the default file name.
  2. Response view - Choose the response view as All questions, Shown questions or Answered questions.
  3. Range - Select the range of responses.
  4. Password - Choose to secure your file with a password.
 

For CSV

  1. File Name - Give your file a unique name, or the survey name will be the default file name.
  2. Response Ordering - Select preferences of ordering responses from Oldest First or Newest First.
  3. Password - Choose to secure your file with a password.
 
 

For SPSS

  1. File Name - Give your file a unique name, or the survey name will be the default file name.
  2. Response Ordering - Select preferences of ordering responses from Oldest First or Newest First.
  3. Password - Choose to secure your file with a password.
 

For Tableau extract

  1. Name - Give a name for your extract.
  2. Select an individual report - Choose the report that has to be extracted.
  3. Response Ordering - Select preferences of ordering responses from Oldest First or Newest First.
  4. Select a filter - Choose a filter for all responses, completed responses, partial responses, and today's responses.

To view the responses in Tableau Desktop:
  

  1. Open your Tableau Desktop.
  2. Click More on the left pane, then select Web Data Connector.
  3. Paste the extract link in the URL box and click Enter.
  4. Sign in to your account using your Zoho credentials.
  5. Click Update Now or Automatically Update in the screen that follows.
  6. Click the sheet to open a worksheet.
  7. Drag and drop the questions from the left pane into the Columns and Rows fields to generate charts and visualizations.

For Zoho Sheet

For opening the responses in Zoho Sheet, click the Open in Zoho Sheet option.
Upon clicking this option, you will be prompted to choose the response ordering as Oldest First or Newest First.
Once chosen, the responses will be in Zoho Sheet.
