Summary of Responses

Get updates about your responses in real-time with Zoho Survey's reporting tools, and analyze the trends to make better business decisions. Customize reports and set up a schedule to deliver them, or compare different reports and filter your responses by the criteria you set. You can view a summary of all responses, or view them individually. 

You can find the following details in the Summary of Responses section:
  1. Recent Response: The date you received the most recent response. 
  2. Survey status: If your survey is active, you'll see a green Active button. If your survey has been closed to stop receiving responses, the status will show Inactive.  
  3. Language: The languages in which the survey is available.
  4. Filter by: Apply filters to manage search results. You can filter responses based on the time they were received, the collectors you used, or the answers you got:
    1. All Responses 
    2. Completed Responses 
    3. Partial Responses 
    4. Today's Responses 
    5. Create Filter 
      Report filters

To view your reports:

  1. After you launch your survey, go to the Survey home page. 
  2. Click Reports on the left pane. 

To clone default reports:

  1. Click Reports on the left pane. 
  2. Hover over the default report. 
  3. Click the Duplicate icon.
  4. Make necessary edits to the Report name and click Create.

To see a summary of all the responses you've received: 

  1. Total Responses: The total number of responses — complete, partial, and disqualified. 
  2. Survey Visits: The total number of survey visitors. 

  3. NPS Score: A section that consolidates the results of all the NPS-type questions of your survey. It only appears when you've two or more NPS-type questions in your survey.

  4. Average Ratings: A section that consolidates the results of all the rating-type questions of your survey. It only appears when you've two or more rating-type questions in your survey. 

Custom Charts

You can now apply these custom configurations in charts. 
  1. Show chart - Show/hide charts and the data in the chart
  2. Chart fit into the screen - Adjust the charts to fit the screen
  3. Chart labels - Change chart labels
  4. Legend position - Change legend positions to left/right/top/bottom. The legend is placed at the bottom, by default.
  5. Data table/Stats table - Apply a data table and a statistics table
  6. Data dimension - Different chart types are classified based on their dimensions. Select one of the three dimensions to view data.
    Note
    This configuration is available only for Matrix type questions.
  7. Metrics - Select the metrics for result consolidation as Score, Frequency Distribution, Response Distribution, NPS Category Distribution, or Average Rating based on the question type
  8. Select chart depth values as distribution/weighted average – weighted average-based charts or distribution-based charts
  9. Axis scale - Customize chart axis scale values to view responses in percentage or absolute
  10. Min and Max - Customize the minimum and maximum values in the chart. Percentage (min - 0 and max - 100), and count (min - 0, max - highest response count) are selected, by default.
  11. Decimal value - Change decimal places
  12. Hide unselected options - Hide empty responses or answer choices with no responses. Response count - 0 or response percentage - 0.00% will be hidden, by default.
  13. Sort options - Apply sorting based on the following categories:
    1. Original order
    2. A-Z
    3. Z-A
    4. Highest value
    5. Lowest value

To customize the chart:

  1. Click Reports on the left pane. 
  2. Go to the question for which you need to customize the chart. 
  3. Click Customize.
  4. Select Show chart in the Display Options section and choose the chart you want to use.
    1. Meter gauge chart - Select the decimal value in the Decimal Value dropdown list. This is applicable only to NPS questions.
    2. Pie chart - Select the decimal value and sort options in the Decimal Value and Sort Options dropdown lists respectively.
    3. Horizontal bar chart - Select the metrics, axis scale, minimum and maximum values, decimal value, and sort options in the Metrics, Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    4. Vertical bar - Select the metrics, axis scale, its minimum and maximum values, decimal value, and sort options in the Metrics, Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    5. Line chart - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    6. Arc chart - Select the decimal value and sort options in the Decimal Value and Sort Options dropdown lists respectively.
    7. Donut chart - Select the decimal value and sort options in the Decimal Value and Sort Options dropdown lists respectively.
    8. Spider web - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    9. Area chart - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    10. Stacked horizontal bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    11. Stacked vertical bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    12. Grouped vertical bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    13. Grouped horizontal bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    14. Longitudinal line - Select the metrics, axis scale, its minimum and maximum values, decimal value, and sort options in the Metrics, Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    15. Longitudinal area - Select the metrics, axis scale, decimal value, and sort options in the Metrics, Axis Scale, Decimal Value, and Sort Options fields respectively.
    16. Longitudinal spline - Select the metrics, axis scale, minimum and maximum values, decimal value, and sort options in the Metrics, Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    17. Radar chart - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    18. Clustered horizontal bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
    19. Clustered vertical bar - Select the axis scale, its minimum and maximum values, decimal value, and sort options in the Axis Scale, Min, Max, Decimal Value, and Sort Options fields respectively.
  5. Select Data in chart if you want to show the data also in the chart.
  6. Select Chart fit into the screen to adjust the charts to fit the screen and avoid scrolling to view all columns. This applies only to vertical bar charts.
  7. Click the Chart labels dropdown to choose whether you want to use a legend or the labels you've in the chart.
    1. Select Legend if you want to use a legend in the chart.
    2. Select Label in chart if you want to add a label instead of the legend in the chart. This doesn't apply to the horizontal bar, vertical bar, line chart, spider web, area chart, stacked horizontal bar, and stacked vertical bar charts.
  8. Click the Legend position dropdown to select where you want to display the legend. The legend is placed at the bottom, by default.
  9. For matrix questions, select Transpose to swap the rows and columns in the two-dimensional charts.
  10. Select Data table and again select the Stats table to view the stats for a question.
  11. Select Hide unselected options to hide all zero responses.
  12. Click Save.

To customize the labels:

  1. Click Reports on the left pane. 
  2. Go to the question for which you need to customize the labels. 
  3. Click Customize.
  4. Select Labels in the Display Options section.
  5. Edit the default question label in the Question Label box, if required.
  6. Add a description in the Question Description box.
  7. Edit the default text in the Comments Field Label box, if required.
  8. Edit the default text in the Answer Labels section, if required.
  9. Click Color Palette to choose a colour range for your answer labels.
  10. Click the colour against the label to choose a gradient by setting up the RGB values.
  11. Click Save.

To change the chart:

  1. Click Reports on the left pane.
  2. Go to the question for which you need to change the chart. 
  3. Click the chart icon and select the chart you want to use. 

To view only the chart for a question:

  1. Click Reports on the left pane. 
  2. Go to the question for which you need to view the chart. 
  3. Click the chart icon and select the chart you want to use. 
  4. Uncheck the Data in chart checkbox. 

To view the stats for a question:

  1. Click Reports on the left pane. 
  2. Go to the question for which you need to change the chart and click the chart icon. 
  3. Select Data table and again select the Stats table

To view the reports in a particular language: 

  1. Click Reports
  2. Click the Language dropdown on the left pane. 
  3. Select the language you want to use. 
     

To export individual questions as PDF, image, or spreadsheet:

  1. Click Reports on the left pane and select Summary of Responses
  2. Click Export against the question you want to export and select one of the following:
    1. As PDF
      1. Type a name in the File Name field. 
      2. Select the orientation - Portrait or Landscape in the Orientation dropdown. 
      3. Select the size of the PDF in print in the Paper Size dropdown. 
      4. Select a language in the Language dropdown list. 
      5. Enable the password knob to set a password for the export file. 
      6. Type a password in the Enter Password field. 
    2. As Image
      1. Type a name in the File Name field. 
      2. Select a language in the Language dropdown list. 
      3. Enable the password knob to set a password for the export file. 
      4. Type a password in the Enter Password field.

    3. As Spreadsheet
      1. Type a name in the File Name field. 
      2. Select a language in the Language dropdown list. 
      3. Enable the password knob to set a password for the export file. 
      4. Type a password in the Enter Password field.

  3. Click Export.
