With Kanban view, your records are displayed as cards categorized based on a parameter of your choice, allowing you to manage your objectives more efficiently.
You can create multiple Kanban views in any table inside Zoho Tables using the following 4 field types:
Single select
Collaborator
Created by
Modified by
Creating a Kanban view
Click the + Add a View button and select Kanban.
Name your view with something that will help you remember what it's showing. For example: Asset Status.
In the example shown below, a Kanban view that stacks the records based on the status of the assets has been created.
Customize your cards with the Kanban card builder
When a Kanban view is created, the intuitive interface of Zoho Tables displays cards with the most relevant fields in your table. However, you can customize the cards with the Kanban card builder, using simple drag-and-drop actions:
Click the Builder option on the toolbar, which opens up the card builder.
The Manage fields panel displays all the fields in your Table. By clicking on the context menu ⋮ next to each field, you can edit, duplicate, or delete the field. You can also add new fields with the +Add field option.
To add fields to the cards: Simply click the desired field from the list of available fields and drag and drop it into the card builder. Now you'll see the Kanban cards getting updated with the added fields.
To remove a field from the card: Click on the delete icon next to the field in the card builder. This will only remove the field from the Kanban cards and not delete the field completely from the table.
To reorder the fields in the card: Click and drag a field up or down within the card builder to move it to the desired position.
To edit how the fields appear in the card: Click the Settings icon next to the Reset button and choose an alignment and a line space for the fields. You can also show/hide field labels using the Show field labels toggle. This will be applied to all fields.
To make changes to individual fields: Click the Settings icon next to each field. Here, you can change the field alignment and style, show/hide field labels, and enable multiline for individual fields.
Configure Kanban view with the single select field type
Zoho Tables lets you create Kanban views with single select fields in a table.
To create a Kanban view based on existing single select field types:
Click the + Add a View option, and select Kanban.
Once the view is created, you can choose how to configure the cards.
If your table already has one or more single select fields, choose one from the dropdown.
Click Create.
Configure Kanban view with the single select field type
Zoho Tables lets you create Kanban views with single select fields in a table.
To create a Kanban view based on existing single select field types:
Click the + Add a View option, and select Kanban.
Once the view is created, you can choose how to configure the cards.
If your table already has one or more single select fields, choose one from the dropdown.
Click Create.
Zoho Tables lets you create Kanban views with the collaborator fields in a table.
To create a Kanban view based on existing collaborator fields:
Click the + Add a View option and select Kanban.
Once the view is created, you can choose how to configure the cards.
If your table already has one or more collaborator fields, choose one from the dropdown.
Click Create.
To add more collaborators to your base from Kanban view:
If you've created a Kanban view based on a collaborator field type, you can add new collaborators directly from the Kanban view. Here's how:
Click +Add at the end of the stacks.
In the Add Collaborator dialog box, enter the email address of the collaborator to be added.
Choose the collaborator’s user permission.
Click Add.
Note:
The newly added collaborators will have access to the entire base. When you move the cards around to update values in the collaborator field, the data changes will be automatically updated in the table and all the other views.
When access is removed for a collaborator who has records assigned to their stack, the collaborator will be greyed out with the cards retained in the same stack. You can then move the cards to assign them to a different collaborator.
If you want to add a deleted collaborator again:
Click the Menu option next to the deleted collaborator’s stack name.
Choose Add this collaborator.
Select the user role and click Add.
The collaborator is now added to the base with the card(s) in their stack.
Another way to add a deleted collaborator back to a base from your Kanban view is to move a card to the deleted collaborator’s stack. This will automatically open the Add Collaborator dialog box, where you can choose the user role and share the base.
Configure Kanban view with the created by field type
Configuring a Kanban view based on a created by field lets you arrange your stacks based on who created the individual records in your table.
To create a Kanban view with a created by field:
Click the + Add a View option and select Kanban.
Once the view is created, choose the existing created by field from the dropdown list.
Click Create. A Kanban view with cards stacked based on who created the records will be created.
If you don’t have an existing created by field, choose Created By from the Create fields option.
Configure Kanban view with the modified by field type
Configuring a Kanban view based on a modified by field lets you arrange your stacks based on who made changes to the individual records most recently in your table.
To create a Kanban view with a modified by field:
Click the + Add a View option, and select Kanban.
Once the view is created, choose the existing modified by field from the dropdown list.
Click Create. A Kanban view with cards stacked based on who modified the records will be created.
If you don’t have an existing modified by field, choose Modified By from the Create fields option.
Change the configurations of an existing Kanban view
After creating a Kanban view with a supported field type, you can change the configurations of the view at any time with the Configure option in the toolbar.
To change the configuration of a Kanban view with existing fields:
Go to any existing Kanban view.
Click the Configure option.
Click the Choose fields dropdown.
From the list of existing field types that support Kanban view, choose a field with which you want to configure the view.
To change the configuration of a Kanban view with new fields:
Open any existing Kanban view.
Click the Configure option.
Click the Choose fields dropdown. You’ll see a list of existing supported field types along with options to create new fields.
Choose from the following: Create Single Select field, Create Collaborator field, Create Created By field, and Create Modified By field.
The view will then be configured with the newly created field. For example, in the GIF below, a Kanban view is configured with a new single select field.
In the above illustration, when the configuration of a Kanban view is edited by creating a new single select field, the records are added to the Uncategorised stack, as the options are not defined for the new single select field yet.
To define the new field:
Go to Builder.
Click the menu next to the newly created field and choose Edit.
Enter a field name and add options by clicking the + Add an option button.
