Grouping records

The Group By feature helps you organize and summarize your records by categorizing them based on a chosen field. It allows you to analyze patterns, compare values, and view related records together without creating separate views.

 

What is Group By?

Group By lets you cluster records that share value in a chosen field (like Status, Category, Owner, or Date). Each group can display a summary, count, or calculation, making it easier to understand trends and totals at a glance.

 

Example:

Group tasks by Status (To Do, In Progress, Completed) to instantly see how work is distributed.

 

What you'll need

  •  A table containing Grid view

  • A Grid view with supported field types

How to apply Group By

  1. Open a table and navigate to your preferred Grid view.

  2. In the view bar, you'll find the Group icon to group fields.

  3. Click + Add Group.

  4. Choose the field you want to group records by.

  5. Choose the order in which you want the grouping to appear.

  6. The view will refresh and display records grouped under headers.

 

Supported field types

You can group records using:

  • Single-select/Multi-select

  • Collaborator

  • Date-Time

  • Text

  • AI field types

  • Number

  • Percentage

  • Link

 

Using aggregations in groups

For the fields, you can enable summaries within each group, such as Sum, Average, Minimum, Maximum, Date Range, Percentage, etc.

 

Example:

Group expenses by Category field, and show the Sum of Amount for each group by enabling summary for that field.

 

Expand and collapse groups

  • Click the    arrow in the left-side of the group header to collapse records and focus on summaries.

  • Click the    arrow to expand again to view individual records.

This is useful when working with large datasets. 

 

Multi-level grouping

You may apply more than one Group By field to create nested grouping.

 

Example:

First group by Department, then by Status within each department.

 

Reordering groups

In case of multi-level grouping, you can reorder the order in which the records are grouped.

  • You can navigate to the Group option, and hover over the drag    icon.

  • Drag and drop the field to change the order.

 

Example:

The records may have been grouped by Department first and then by Team. With the reorder option, you can group the records by Team first and then by Department.

  

Removing Group By

  1. Go to Group.

  2. Click the delete  icon next to the field to clear that specific grouping.
