Creating, Formatting, and Categorizing Notes

In this article, we'll see how you can create notes, format, and organize them effectively. 


Creating a New Note

To create a new note:

  1. Navigate to the Notes module. 
  2. Click the New Note button in the top-left corner of the app. 
  3. An untitled note will appear in the List or Grid View depending upon your View Settings. 
  4. Give your note a title and jot down your thoughts.
  5. Your note will be automatically saved in the List View.
  6. However, you must click the Tick  icon to save your note in the Grid View.

Creating Personal Notes

To create a personal note:

  1. Navigate to the Views section under the New Note button, on the left pane of the Notes module.
  2. Click My Notes under Views. 
  3. Click the New Note button and create your note. 

Creating Group Notes

To create a group note:

  1. Navigate to the Groups section below the Views section on the left pane of the Notes module. 
  2. Select the group in which you want to create your note.
  3. Click the New Note button and create your note.

Creating a New Note from Email Content

To create a note from email content:

  1. Select some text in the email.

  2. In the options that appear, click the Notes icon.

  3. The Notes Editor will open with the selected text.

  4. Update the note title as required.

  5. Close the Notes Editor and the changes will be saved automatically.


Note: If a note is created for a POP/IMAP account, it will be added to the corresponding primary account's list of notes.

Formatting Notes

The Notes module has a What You See Is What You Get editor to format your content. The following are the formatting options available in the rich text mode:

Bold

Italics

Underline

Strikethrough

Alignment Options

  • Bullet List

  1. Numbered List

  • Checkbox

Remove Formatting

Besides these, the rich text editor also allows you to insert:

Table

Image

Hyperlink

Attachment

Note: You can preview, download, and delete your note attachments. 

Categorizing Notes

To identify and access the note you are looking for quickly, you can color code, star, and tag your notes. 

Color Coding Notes

You can color code your notes in yellow, blue, red, or green to separate them by the level of importance, subject matter, and so on, to organize your notes effectively. 

To color code a note in the List View:

  1. Right-click the note you want to color code from the list of notes.
  2. Select the desired color from the menu list.

Alternatively, you can also:

  1. Open the note you want to color code in the Notes Editor
  2. Click the colored bubble in the top-right corner of the Notes Editor
  3. Select the desired color from the menu list.

To color code a note in the Grid View:

  1. Click open or hover over the note you want to color code. 
  2. Click the More Options  icon in the top-right corner of the Notes Editor
  3. Select the desired color from the menu list

You can further decide on how colorful your notes should be: Plain or Colored.

  • Plain: The note color will be indicated by a small colored bubble in the listing. 
  • Colored: The Notes Editor will be displayed in the specified color. 

To choose between Plain or Colored:

  1. Click the More Options  icon in the top-right corner for the notes listing. 
  2. Check Plain or Colored according to your preference. 

Marking Notes as Favorites

To mark a note as a favorite in the List View:

  1. Open the note you want to favorite. 
  2. Click the Star  icon in the top-right corner of the Notes Editor.

Alternatively, you can also:

  1. Select the note you want to star from the notes list.
  2. Click the Star  icon in the bottom-right corner.

To mark a note as favorite in the Grid View:

  1. Navigate to the note you want to mark as favorite.
  2. Click the Star  icon in the bottom-right corner of the note. 

Notes: 

  • You can find all of your starred notes by going to Views > Favorites in the left pane of the Notes module. 
  • To unstar a note, click the Star  icon again. 

Tagging Notes

To tag a note in the List View:

  1. Open the note you want to tag.
  2. Click the More Options  icon in the top-right corner of the Notes Editor. 
  3. Select Tag as from the menu list and choose the tag you want to apply from the list of options. 

To tag a note in the Grid View:

  1. Open the note you want to tag and expand it to a full-screen view. 
  2. Click the More Options  icon in the top-right corner of the Notes Editor
  3. Select Tag as from the menu list and choose the tag you want to apply from the list of options. 

Notes: 
  • You can tag notes only if you have created tags for your emails. 
  • To untag a note, dismiss the assigned tag label from the Notes Editor.
