Managing Tasks

In this article, we'll see how you can manage your tasks and maintain an organized to-do list.

Viewing Tasks 

You can choose between the List and Board views to get a glimpse of all your tasks grouped by due dates or task assignees.


On right-clicking a task, you'll be able to see the task creator and date of creation, as well as options to open the task in a window or delete it.


Updating Task Information Via Drag-and-Drop

In the Board view, you can drag and drop tasks to easily update the category, status, priority, due dates, tags, and assignees.

 

Editing Tasks 

After you have created a task, you can edit the title, description, priority, due dates, and change or remove assignees whenever you need. To edit a task:

  1. Click open the task you want to edit. 
  2. Make the required edits.
  3. The changes will be saved automatically.
NotesNote: You can edit only the tasks you've created in a Streams group. For tasks created by other group members, you can only view, like, and comment. 

Deleting Tasks 

To delete a task:
  1. Right-click the task you want to delete.
  2. Select Delete Task from the menu list.
  3. In the alert that appears, click Delete.


Alternatively, you can also:

  1. Click open the task you want to delete.

  2. Click the More  icon in the detail view.

  3. Select Delete from the menu list.

  4. In the alert that appears, click Delete.

Notes

Notes: 

  1. You can delete only the tasks you have created and while doing so, the task will be deleted permanently along with all sub-tasks, comments, and activities. 
  2. Deleted tasks will be moved to trash from where they'll be deleted permanently after 30 days if it isn't restored. In Trident, it's not yet possible to view the list of trashed tasks. However, you can view and restore the trashed tasks from the ToDo web app.

Sharing Tasks via Streams

To share a task with a colleague or group:

  1. Click open the task you want to share.
  2. Click the Add or View Invitees  icon in the Comment box. 
  3. Search and select a contact or Streams group or choose a contact from the list of suggestions.
  4. Click Invite

  • You can @mention an individual or group in comments and click the Share  icon to share the task.
  • You can add emojis and attach files in the comments.
  • You can share a personal task with a person or a Streams group as well as share a group task with organizational members who are not part of that Streams group. 

Grouping Tasks

You can group your tasks based on various criteria. To do so:

  1. Navigate to the Tasks module.
  2. In the task list, click on the drop-down option beside Group by.
  3. Select how you want to group your tasks. Tasks will automatically be grouped based on your selection.

  • By default all your tasks will be grouped as per the due date. 
  • In the Agenda View, task grouping is unavailable, as tasks are inherently organized by their timeline.

Sorting Tasks 

To sort tasks:

  1. Click the Sort  icon.

  2. Sort by created, modified, or due dates from the options available.

Reordering Tasks 

In Board View, you can reorder tasks by dragging and dropping them within the same board. For example, if your tasks are grouped by priority, and you have five tasks under the "High Priority" board, you can drag the third task and move it to the top of the list.
