Managing Emails

In this article, we'll see how you can manage your emails and maintain a clutter-free mailbox using a variety of options.

Setting Reminders for Emails     

You can set reminders for emails for yourself and for your email recipients. To set a reminder for an email from the email list:

  1. Right-click the email.

  1. Select Reminder from the menu list.

  1. In the pop-over, select whether you want to be reminded At a Specific Time, If Nobody Replies by, or On Every Reply.

  1. Pick the date and time.

  1. Choose to receive the reminder either via Notification or Email.

  1. Check the Remind Recipients Also option to send the reminder to the email recipients.

  1. Once ready, click Set Reminder.  



To set a reminder for an email from the email detail view:

  1. Open the email for which you want to set the reminder.

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Reminder from the menu list.

  1. Choose when and how you want to be reminded.

  1. Once ready, click Set Reminder.


Notes:

  • Emails for which you've set reminders will have a bookmark indication.

  • When you set the reminder mode as Notification, you'll receive the reminder through In-App notifications.

Snoozing Emails     

Any incoming email can be snoozed, making it disappear from your inbox for a chosen period of time. Once the snooze period is up, these emails will reappear in your inbox.  

To snooze an email from the email list:

  1. Right-click the email you want to snooze.

  1. Select Snooze from the menu list.

  1. Choose the desired time frame.

To snooze an email from the email detail view:

  1. Click the More options  icon in the toolbar.

  1. Select Snooze from the menu list.

  1. Choose the desired timeframe.

Unsnoozing Emails     

To unsnooze an email from the email list:

  1. Navigate to the Snoozed Folder.

  1. Right-click the email you want to unsnooze.

  1. Choose Snooze from the menu list that appears, and select Unsnooze.


NoteYou can also click the Unsnooze option in the email detail banner.

To unsnooze an email from the email detail view:

  1. Navigate to the Snoozed Folder and open the email you want to unsnooze.

  1. Click the More options  icon in the toolbar.

  1. Choose Snooze from the menu list that appears and select Unsnooze.


Note: Emails that are unsnoozed appear in the inbox with a snooze indicator along with the time stamp in yellow.   

Moving Emails to a Folder or a Subfolder

To move an email to a folder or subfolder from the email list:
  1. Drag the email from the email list.
  2. Drop it in the folder to which you want to move it. 



To move an email to a folder or a subfolder from the email detail view:

  1. Open the email you want to move.

  1. Select Move To from the toolbar.

  1. Select the desired folder or subfolder from the list that appears.



Alternatively, you can also:

  1. Click the More options   icon at the top-right corner of the email detail view.

  1. Select Move To from the menu list.

  1. Select the desired folder or subfolder from the list that appears.


Tagging Emails   

To tag an email from the detail view:

  1. Open the email you want to tag.

  1. Select Tag As from the toolbar.

  1. Choose a tag from the list that appears.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Tag As from the menu list.

  1. Select the desired tag from the list that appears.


Note: The email will be color-coded to the corresponding tag in the email list.

Untagging Emails

To untag an email from the email list:

  1. Right-click the email you want to untag.

  1. Select Tag As from the menu list.

  1. Uncheck the selected tag.


To untag an email from the detail view:

  1. Open the email you want to untag.

  1. Select Tag As from the toolbar.

  1. Uncheck the tick mark against the chosen tag from the list that appears.



Alternatively, you can also:

  1. Click the More options   icon at the top-right corner of the email detail view.

  1. Select Tag As from the menu list.

  1. Uncheck the tick mark against the chosen tag in the list that appears.


Note: You can view the tagged emails under Tags in the folder pane.

Flagging Emails

Flags help to find emails easily later by marking them as Info, Information, or Follow-up. Besides Inbox, the flagged emails will appear in the Flagged View.

To flag an email from the email list:

  1. Hover over the email.

  1. Click the Flag  icon.

  1. It will turn to red indicating that it is flagged as important.

Note: Emails can only be flagged as "Important" from the email list.

To flag an email from the detail view:

  1. Open the email you want to flag and click the More options icon in the toolbar.

  1. Select Flag As from the toolbar.

  1. Choose between Info, Important, and Follow-Up options.

  1. The email will be color-coded to the corresponding flag in the email list.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Flag As from the menu list.

  1. Select the desired flag from the list that appears.

Note: You can view all the flagged emails under the Flagged View in the folder pane.

Unflagging Emails

To unflag an email from the email list:

  1. Hover over the email.

  1. Click the colored flag to remove it.


To unflag an email from the email detail view:

  1. Open the email you want to unflag.

  1. Select Flag As from the toolbar.

  1. Select Clear Flag from the menu list.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Flag As from the menu list.

  1. Select Clear Flag.

Marking Emails as Read or Unread

To mark an email as read:

  1. Navigate to the email list.

  1. You will see that unread emails are depicted by an envelope icon.

  1. Click the Envelope  icon to mark it as read.

To mark an email as unread, hover over the email and click the faded Envelope  icon.


Marking Emails as Spam   

Trident automatically identifies spam and other suspicious emails and pushes them to the Spam folder. You can also mark or unmark emails as spam to sort through your wanted and unwanted emails.

To mark an email as spam from the email list:

  1. Right-click the email.

  1. Select Mark as Spam from the menu list.

To mark an email as spam from the email detail view:

  1. Open the email you want to mark as spam.

  1. Select Mark as Spam from the toolbar.  

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Mark as Spam from the menu list.


Marking Emails as Not Spam 

To mark an email as not spam from the email list:

  1. Navigate to the Spam Folder and hover over the email you want to mark as not spam.

  1. Click the tick   icon.

Alternatively, you can also:

  1. Right-click the email.

  1. Select Mark as Not Spam from the menu list.

To mark an email as not spam from the email detail view:

  1. Navigate to the Spam Folder and open the email.

  1. Click the More options icon and select Mark as Not Spam from the toolbar.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Mark as Not Spam from the menu list.

  

Archiving Emails     

To archive an email from the email list:

  1. Hover over the email.

  1. Click the Archive  icon.

Alternatively, you can also:

  1. Right-click the email.

  1. Select Archive from the menu list.

To archive an email from the email detail view:

  1. Open the email you want to archive.

  1. Select Archive from the toolbar.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Archive from the menu list.

Note: You can view all of your archived emails under the All Archived view in the folder pane.

Unarchiving Emails 

To unarchive an email from the email list:

  1. Navigate to the All Archived view and hover over the email you want to unarchive.

  1. Click the Unarchive  icon.

Alternatively, you can also:

  1. Right-click the email.

  1. Select Unarchive from the menu list.

To unarchive an email from the email detail view:

  1. Navigate to the Archived view and open the email.

  1. Select Unarchive from the toolbar.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Unarchive from the menu list.


Deleting Emails  

You can delete emails and push them to the Trash folder to keep your mailbox clutter-free. You can also delete emails in bulk by emptying folders or subfolders. All deleted emails can be recovered within 30 days of deletion. However, once permanently deleted, that's not possible.

To delete an email from the email list:

  1. Hover over the email.

  1. Click the Delete  icon.

Alternatively, you can also:

  1. Right-click the email.

  1. Select Delete from the menu list.

To delete an email from the email detail view:

  1. Open the email you want to delete.

  1. Select Delete from the toolbar.

Alternatively, you can also:

  1. Click the More options  icon at the top-right corner of the email detail view.

  1. Select Delete from the menu list.

Permanently Deleting Trashed Emails    

The deleted emails will be pushed to the Trash folder and will be automatically deleted forever after 30 days. To empty the trash and permanently delete trashed emails immediately:

  1. Navigate to the Trash Folder.

  1. Select Empty Trash from the information box at the top of the email list.

  1. Select Delete in the alert dialog that appears.

 
 

Permanently Deleting Spam Emails     

Emails marked as spam will be pushed to the Spam folder and will be automatically deleted forever after 30 days. To empty spam and permanently delete spam emails immediately:

  1. Navigate to the Spam Folder.

  1. Select Empty Spam from the information box at the top of the email list.

  1. Select Delete in the alert dialog that appears.

  


Scrubbing Emails 

The Scrub feature allows you to bulk archive or delete emails from multiple senders all at once, ensuring a clutter-free mailbox.

Scrubbing Emails From a Specific Folder 

To bulk archive or delete emails from a specific sender in a specific folder:
  1. Select the folder containing the specific senders' emails that you want to bulk archive or delete.
  1. Click the More  icon in the email detail view.

  1. Select Scrub from the menu list.

  1. Choose between Delete or Archive in the alert that appears.



To bulk delete or archive emails from multiple senders:

  1. Select the emails from the senders whose emails you want to bulk archive or delete.

  1. Click the More icon in the email detail view.

  1. Choose Scrub from the menu list.

  1. The alert will display all the email addresses selected. If you've selected more than five from the email list, it will display them all, letting you choose up to five senders.

  1. Choose between Delete or Archive.


Alternatively, you can scrub emails in the list view by right-clicking on the email by selecting Scrub from the menu list.



Notes:
  1. After bulk archiving emails, they will be moved to the Archived view. You can access them under Views in the folder pane or by clicking the Filter icon and selecting Archived from the menu list.
  2. After bulk deleting emails, they will be moved to the Trash folder.
  3. You can only bulk delete emails from the Trash folder; archiving them in bulk is not supported.

Scrubbing Emails From All Folders 

To bulk archive or delete emails from all folders:

  1. Go to any tag or view listed in the left pane.

  1. Select the emails from the senders whose emails you want to bulk archive or delete.

  1. Click the More icon in the email detail view.

  1. Choose Scrub from the menu list.

  1. The alert will display all the email addresses selected. If you've selected more than five from the email list, it will display them all, letting you choose up to five senders.

  1. Choose between Delete or Archive.




Note: You can't bulk archive or delete from the following places:

  1. All Inboxes
  2. Saved Searches
  3. Search results
  4. Templates folder
  5. Drafts folder
  6. Outbox folder
  7. Shared folder
