Collaborating Over Streams in Trident (Windows)

In this article, we'll see how you can share emails and tasks with organization members via Streams in Trident for Windows.

InfoNote: Streams is not available as a separate section in Trident for Windows. However, some of its functionality is available and explained in this help document. The full set of Streams capabilities, which are available in the Zoho Mail web application, will be available in future updates.

Sharing Emails via Streams 

In the Mail module, you can enable the Streams Comments dialog as a popover or have it below the email detail view. When it's enabled as a popover, use the steps below to share an email with a colleague or a group:

  1. Navigate to the Mail module.

  1. Click open the email you want to share.

  1. Click the Share This Email  icon from the email detail view.

  1. @mention the user or group in the comment section and click Send.

  1. Click the Add or View Invitees  icon.

  1. In the Invitees popup, choose from the list of suggestions or search and select the contact or the group with whom you want to share the email.

  2. Click Invite. 


Alternatively, if Streams Comments is disabled as a popover, you'll find it below the email detail view. You can follow the same procedure from step three to share the email.

Notes:

  • If you want to prevent invitees from adding other contacts or groups to the email (or other elements such as notes or tasks) you've shared via Streams, click the Refuse Other Invitees icon.



Interacting with Streams Elements 

In addition to sharing your emails and tasks, you can interact with shared elements by commenting, replying to comments, liking comments, @mentioning, attaching files, adding emojis, and removing/refusing other invitees.

Like 

When you like Streams elements such as emails, notes, tasks, events, messages, or bookmarks, you show your approval or your interest. To do so, click the Like  icon in the top-right corner of the Streams Comments popover.


NotesNote: To undo the like action, simply click the icon again.

Comment 

To comment on any Streams by you or others:

  1. Navigate to the Streams Comments dialog.

  1. Type your comment in the comment textbox.

  1. Click the Comment  icon.



NotesNote: When the comment textbox does not have any text, the Comment  icon will be greyed out.

Reply to a Comment 

To reply to a comment:

  1. Hover over the comment to which you want to reply.

  1. Click the Reply  icon.

  1. Type your reply in the comment textbox.

  1. Click the Comment  icon.



Like a Comment 

To like a comment:

  1. Hover over the comment you want to like.

  1. Click the Like  icon.




@mention 

You can tag a team member in the Streams comments by @mentioning them. This is also another way to add them as an invitee to view an email, note, or task.

Attach Files 

To attach files in your comments:

  1. Click the Attach File  icon in the comment textbox.

  1. In the dialog that opens, browse the attachment from your local device and click Open.

  1. Type any comments, if required, in the comment textbox.

  1. Click the Comment  icon.



NotesNote: The maximum file size permitted per comment is 10 MB.  

Remove Invitees

To remove invitees and unshare a Streams element:

  1. Click the Add or View Invitees  icon.

  1. In the Invitees pop-up, click the Uninvite  icon next to the users you want to remove.


Refuse Other Invitees 

You can prevent users that you've invited to view an email, note, or task from adding other users. To do so, click the Refuse Other Invitees  icon in the top-right corner of the Streams Comments popover. 

Deleting a Streams Comment 

To delete Streams comments:


  1. Navigate to the comments section of the shared email or task.
  2. Howe over the comment you want to delete.
  3. Click the More  icon.
  4. Select Delete from the menu list.
  5. Click Delete Comment in the alert dialog that appears.

Notifying About Streams Activities 

You'll be notified of the following Streams activities in the in-app notification center indicated by the Bell  icon in the app menubar:

  • When a user shares an email, note, or task with you by adding you as an invitee

  • When a user shares an email draft

  • When a user likes your post

  • When a user comments on your post

  • When a user likes your comment

  • When a user replies to your comment

  • When a user @mentions you in a comment

  • When a user updates a post (email/note/task/event/message/bookmark)

  • When a user adds or removes invitees from a post

  • When a user adds or removes members from the Streams Group

The number of unread notifications will also be listed on the Bell  icon. To view these notifications:

  1. Click the Bell  icon in the top-right corner of the app menubar.  

  2. Select the notification to view and act on it right away.
