Zoho Vault Integration with Zoho Flow

Zoho Vault is now available on Zoho Flow, an integration platform (iPaaS) that acts as a workflow automation tool.

With Zoho Vault's integration with Zoho Flow, you can effortlessly link 650+ cloud applications with Zoho Vault. For example, if a team is created in Asana, you can automatically have a folder created and shared with the team.

Pre-requisites:

  1. An active Zoho Vault and Zoho Flow account with admin privileges.

What's a flow?

A flow is a workflow that links two or more applications. A flow can consist of only one trigger but various actions.

What's a trigger?

A trigger is an occurrence that initiates the flow. Zoho Flow offers three types of triggers: app-based, schedule-based, and webhook-based.



What's an action?

Actions are tasks that are performed by the flow. A flow can have multiple actions that need to be executed.

Zoho Vault supports the following 13 actions that can be executed through a flow:

Share folder to group - Shares the selected folder with the specified group
Share password with users - Shares the selected password with the specified users
Share folder with users - Shares the selected folder with the specified users
Share password with user groups - Shares the selected password with the specified user groups
Create folder - Creates a new folder
Stop sharing folder with users - Stops sharing the selected folder with the specified users
Stop sharing password with user groups - Stops sharing the selected password with the selected user groups
Stop sharing password with users - Stops sharing the selected password with the specified users
Fetch user group - Fetches the details of an existing user group by name
Fetch folder - Fetches the details of an existing folder by name
Fetch password - Fetches an existing password by name
Fetch user - By name - Fetches the details of an existing user by name
Fetch user - By email address - Fetches the details of an existing user using email address

What's a connection?

A connection is an app that you let Zoho Flow to access data from. 
For example, when you connect your Zoho Vault account to Zoho Flow, your Zoho Vault account is the connection.

Creating a flow

  1. Log in to your Zoho Flow account, or create a new account if you do not already have one.



  2. Click My Flows in the left navigation panel.

  3. Click the CREATE FLOW button.



  4. Enter the flow name and description, then click the CREATE button.



  5. Choose the app-based trigger option by clicking the CONFIGURE button.



  6. Choose the app you need to integrate Zoho Vault with in the App Trigger pane, then click the NEXT button.



  7. Choose an appropriate trigger from the list of triggers available, then click the NEXT button.



  8. Choose a connection. If you have already connected your account with your Zoho Flow account, enter the variable name, then click the NEXT button.



  9. Otherwise click the  New button to connect your Zoho Vault account with your Zoho Flow account.

  10. Enter the connection name.

  11. You can choose whether to allow the connection to execute All triggers and actions or Only specific triggers and actions.



  12. Click the AUTHORIZE button to proceed.

  13. A pop-up will appear asking you to grant permission to Zoho Flow to access your Zoho account data. Click Accept to do so.



  14. The connection you just created will be selected by default, change the variable name if you want, then click DONE. 



    You will be taken to the builder, where you can create your workflow.

  15. Choose Zoho Vault in the apps.



  16. Drag and drop your preferred actions from Zoho Vault.



  17. Every time you add an action to the flow, you will be required to create/add a connection, and fill in the necessary fields to configure the action.



  18. Switch on your flow using the toggle switch in the top-right corner, once you have completed creating the flow. You can access and manage the flows you created in My Flows.

Note: The actions performed by Zoho Flow within Zoho Vault primarily focus on pre-existing data, excluding the Create Folder action.
