Set a storage limit in My Folders

Zoho WorkDrive offers a single shared storage for your entire organization. This means no separate storage for My Folders, Team Folders, or users. If you wish to restrict your team users from using a large storage space in their My Folders, you can set a storage limit.

You can set a storage limit at both team level and user level.

Set a storage limit in My Folders to all users


  1. Click Admin Console in the bottom-left corner of your WorkDrive account.
    The Admin Console page will open in a new tab. Dashboard will be selected by default.
  2. Click Settings in the left panel. The Profile settings will be displayed by default.
  3. Select Storage.
  4. Toggle ON Set storage limit in My Folders.
  5. Under Set a storage limit in My Folders for all users, click the dropdown next to No limit and select the required storage limit.

    Dropdown options: No limit (default) ✔   
    0 GB
    5 GB
    10 GB
    50 GB
    100 GB

  6. Click Apply.

    For a custom storage limit, select Set a custom storage limit from the dropdown. In the Custom storage limit dialog, enter the required limit and click Apply.


  1. The team level storage limit will also apply to client users.
  2. The setting will override all previously applied custom storage limits to individual users.

Set a storage limit to individual team members

To apply a storage limit for individual users, the "Set storage limit in My Folders" setting must have been enabled.  To enable, go to Admin Console > Settings > Storage, and toggle ON Set storage limit in My Folders.


  1. Click Admin Console in the bottom-left corner of your WorkDrive account.
    The Admin Console page will open in a new tab. Dashboard will be selected by default.
  2. Click the Members tab in the left pane to open it on the right.
  3. Hover over the name of the member and click (...).
  4. Select Set Storage Limit. A new dialog will open.
  5. Click the dropdown and select the required storage limit.

    Dropdown options: No limit (default) ✔

    5 GB

  6. Click Apply.
For a custom storage limit, select Set a custom storage limit from the dropdown. In the Custom storage limit dialog, enter the required limit and click Apply.

Set a storage limit to individual client users

  2. Click the Client Users tab in the left pane to open it on the right.
  3. Hover over the name of the user and click (...).
  4. Select Set Storage Limit. A new dialog will open.
  5. Click the dropdown and select the required storage limit.

    500 GB

  6. Click Apply.
For a custom storage limit, select Set a custom storage limit from the dropdown. In the Custom storage limit dialog, enter the required limit and click Apply.

  1. Users will not be able to add or upload new files (non-Zoho format files) to My Folders once the storage limit is reached. If users have already used more than the set storage limit, they can still view and access their existing files.
  2. Users will be able to create Zoho format files (i.e., Writer, Sheet, and Show), as storage is free for them in WorkDrive.
  3. The upper limit you can set for My Folders' storage is 500 GB.
  4. When My Folders' storage limit is reached, external users will not be able to upload files via external share links or collection links.
