Lock a file’s final version with Mark as Final

Required File Access Permission: Only users with edit permission can mark or unmark a file as final.
The Mark as Final feature in WorkDrive helps you indicate that a file has reached its completed or approved state. When a file is marked as final, it becomes read-only, ensuring that no further edits can be made accidentally. This helps maintain version integrity for finalized documents.
Example: Use this option when a report, policy document, or presentation has been reviewed and approved for publishing.
Key difference between Checkout and Mark as Final:
- Checkout: Used when a user wants to work on a file exclusively. Once checked out, the file becomes read-only for others until it’s checked in.
- Mark as Final: Used to indicate that a file is complete and no more changes are needed. Makes the file read-only for all users until editing is re-enabled.
How to Mark a File as Final
- Select a file you want to mark as final. Alternatively you can open the file in preview.

- Click the More actions (...) icon at the top.
- Select Mark as Final from the dropdown menu and confirm it in the confirmation dialog box.
- Once confirmed, the file status changes to Final, and it becomes read-only for all collaborators.
How to Enable Editing
If you need to make further changes:
- Select or open the finalized file.

- Click the More actions (...) icon at the top.
- Select Enable Editing. Confirm the action to make the file editable again.
Notes:
- The file remains visible to all collaborators but cannot be modified, renamed, or overwritten.
- Users can still view, download, and comment on finalized files.
- Version history remains intact, marking as final does not delete or alter previous versions.
