Quickly scan and upload documents in Zoho WorkDrive

Converting physical documents into digital files is essential for easy access and secure storage. Zoho WorkDrive makes this process effortless with its mobile application by allowing you to scan and upload documents directly to your WorkDrive account. This not only saves time but also ensures your important data is securely backed up.

Here's how you can scan documents using WorkDrive mobile:

For Android

  1. Open the WorkDrive mobile app and navigate to the folder where you have permission to create new files (Edit permission or higher).

  2. Tap the New (+) button in the bottom-right corner of the screen. This will open the Create New menu.



  3. Select Scan Documents from the Create New menu. This will activate your mobile camera, allowing you to scan the document.
    Note: If prompted, allow camera access to proceed with scanning.

  4. Choose your scanning method. Here, you have two options to scan your document:
    1. Auto mode: The system automatically detects your document's orientation and captures the image for you.
    2. Manual mode: Manually capture the image by tapping the Capture button.
      Note: You can also upload existing images from your gallery and save your document in WorkDrive.

  5. After scanning or selecting a document, you'll be redirected to the preview window.



    Here, you can review and make necessary edits using the following tools:
    1. Crop and rotate: Adjust the size and orientation of your document.
    2. Filters: Apply filters to enhance the clarity of your scanned document.
    3. Clean: Remove any unnecessary objects or marks from the scanned image.
    4. Retake: Capture a new image if you’re not satisfied with the current one.
    5. Delete: Remove any unwanted pages from the document.

  6. If your document has multiple pages, repeat the scanning process for each page by tapping the (+) button next to the current page of your document.

  7. Once your entire document is captured, tap Done in the top-right corner.

  8. Choose the folder where you want to store the document in WorkDrive, and rename the file if necessary.

  9. Finally, tap the Tick icon in the top-right corner to save the document in .pdf file format to your WorkDrive account.



For iOS

  1. Open the WorkDrive mobile app and navigate to the folder where you have permission to create new files (Edit permission or higher).

  2. Tap the New/Upload (+) button at the bottom and choose Photos.



  3. Select the Scan Documents option. This will activate your mobile camera, allowing you to scan the documents.

  4. Position your camera over the document you want to scan and adjust it to ensure the document is in full view.

  5. Tap the Capture button to scan the document.
    Note: You can also apply filters by tapping the Filters icon at the top to enhance the clarity of your document.

  6. After scanning a document, you can review and make necessary edits using the following tools:
    1. Crop: Adjust the alignment of the document by dragging its corners until it fits perfectly on your screen.
    2. Retake: Capture a new image if you’re not satisfied with the current one.
    3. Delete: Remove any unwanted pages from the document.

  7. Once you're satisfied with the alignment, tap Keep Scan in the bottom-right corner.

  8. If your document has multiple pages, repeat the scanning process for each page.

  9. Once your entire document is captured, tap Save in the bottom-right corner to open the Save Settings window.

  10. Choose the folder where you want to store the document in WorkDrive, and rename the file if necessary.



  11. Select the file format (JPEG or PDF) that best suits your needs.

  12. Finally, tap the Upload option in the top-right corner to save the document to your WorkDrive account.

Info:
  1. Currently, you can scan up to 100 pages per document.
  2. Your mobile device must have at least 2GB of RAM to support scanning.
