Share files and folders using a permalink

A permalink lets you share a file or folder with your team or external users using a single link. It lets you quickly share content by copying and pasting the link into email, chat, or any other communication channel, without adding members individually. You can control who can access the link, define permission levels, and limit access using expiration settings.


  1. Select the file or folder you want to share.
  2. Click Share from the top action bar. The Share dialog box opens.
    Alternatively, right-click the file or folder and select Share.
  3. Under the Who can Access section, you can see the permalink option. Click Change visibility to manage the permalink settings.



  4. In the Who can access this file via permalink? dropdown, Team Folder members and shared collaborators will be chosen by default.
    To use this permalink, choose one of these options in the dropdown:

    Anyone in the team - Allows all members in your team to access the file or folder using the permalink.
    • Select the required access level.
    • Set an expiration date to limit access to a specific period.
    • Enable or disable Allow file suggestions to let this file appear in the File Suggestion list of team members.

Anyone on the internet - Allows anyone with the link to access the file or folder.
Users can only view and download the content.
  1. Click Save to apply the selected visibility settings.
    The permalink based on the chosen visibility is displayed below.
  2. Copy the permalink and paste it into email, chat, or any other channel to share access.
For the same file or folder, you can create multiple permalinks with different visibility and access levels, and use them based on your sharing requirements.
You can revisit the Share dialog box at any time to update visibility settings, change permissions, modify the expiration date, or disable the permalink.

Sharing files and folders to external users using permalink can be enabled or disabled both at a Team level and Team Folder level.
