Create a customized folder in a Team Folder



By default, all members of a Team Folder can access all its folders, subfolders, and based on their assigned roles. However, if you need to reduce a member's permission for a specific folder, or completely hide it from certain members or external collaborators, you can customize that folder’s permissions.

Only Team Folder Admins, Organizers and collaborators with organize access can create and manage customized folder and permissions.

Important notes on customized folder:
  1. You can customize folders and sub-folders at any level within a Team Folder.
  2. Team Folder roles and parent folder permissions do not apply to a customized folder.
  3. You cannot lower a user's access on a customized folder if they already have a higher level of access from a parent folder (the higher access level always applies).
  4. All underlying subfolders of a customized folder will automatically inherit the custom permissions you set.
  5. Once a folder is customized, new members added to the Team Folder or parent folder will not have access by default and must be manually shared with.
  6. Custom folder permissions are only available for Team Folders and are not supported in My Folders.
  7. A team folder can have a maximum of 2,500 customized folders, created by all team members combined.

Customize folder permissions while creating a folder

  1. In the left panel, choose the desired Team Folder.
  2. Click +New at the top right corner and choose Folder from the dropdown to create a new folder inside a Team Folder.
    The Create New Folder box appears.



  3. Enter a name to the folder.
  4. Under Who can access section, choose Specific members only.
    Once selected, all existing members of the Team Folder will be listed. By default, all members (except Admins) will be set to Restricted access.
  5. Select members/groups and change their role from Restricted to required access level (Ex: View, Comment, Edit, Organize).

     Admins can't be restricted, and their role can't be updated as well.
  6. Once done, click Create.
    Once the customized folder is created, the folder icon will be changed to indicate it as a customized folder.


Customize Folder Permissions after creating a folder

  1. Navigate to the left panel and open the desired Team Folder.
  2. Select the particular folder that you want to customize and click Share from the top action bar.
    The Share dialog box will open.  



  3. Under the Who can share section, click Customize.
    The Customize folder permissions warning box will appear.



  4. Click Continue.



  5. All existing members of the Team Folder will be listed. By default, all members (except Admins) will be set to Restricted access.
    Select members/groups and change their role from Restricted to required access level (Ex: View, Comment, Edit, Organize).
    Notes
     Admins can't be restricted, and their role can't be updated as well.
  6. Once done, click Customize.
    Once done, the folder icon will be changed to indicate it as a customized folder.

 Update members and permissions in a customized folder

  1. Navigate to the desired Team Folder from the left pane and select the customized folder that you want to update.
  2. Click Share from the top action bar. In the Share dialog box, you can see the number of users with access.
  3. Click Change access to change permissions.
  4. Select members/groups and change their role to required access level (Ex: View, Comment, Edit, Organize).
  5. Click Close once done. The permissions will be updated.


 Remove customization in folder

  1. Navigate to the desired Team Folder from the left pane and select the customized folder that you want to update.
  2. Click Share from the top action bar. The Share dialog box will appear.
  3. Under the Who can access section, click Remove Customization.
    The Remove custom permissions confirmation box will appear, click Continue.



    The custom folder permissions will be removed, and all Team Folder members will get access again based on their Team Folder roles. Any existing individual collaborators of the customized folder will lose access.
