Team Folder Admins can manage settings such as privacy, external sharing, and download restrictions to control file access and collaboration within a Team Folder.
These settings apply only to that specific Team Folder and do not affect other Team Folders or the overall team.
Only Team Folder Admins can manage these settings.
Access Team Folder settings
- In the left pane, select the Team Folder you want to manage.
- Click Manage at the top and select Settings from the dropdown.
The Settings tab will open. From there, you can manage the following settings.

Change Team Folder type
You can easily change the type of a Team Folder at any time by choosing one of the two options:
Public - Any member in your team can join the Team Folder without an invitation.
Private - Only members added to the Team Folder can access and collaborate.
To change the Team Folder type:
- Navigate to Team Folder > Manage > Settings.
- Under the Team Folder Type section, choose your desired Team Folder type.
The Change Team Folder Type dialog box appears. - Click Change to confirm the update.
File upload via email
This setting enables team members and external users to upload files to a Team Folder through email.
If file uploads via email is enabled in a Team Folder, a unique email address for the Team Folder is generated. Any attachments sent to this email address will be uploaded to a default folder named Email Attachments or the location you specify in the Team Folder.
Only attachments are uploaded. Email body text is not stored.
To allow file uploads via email:
- Navigate to Team Folder > Manage > Settings.
- Toggle on Allow file uploads via email.
- You can see a default email address for uploads, click Copy email to use it.
Or click Generate New to create a new email address and click Generate in the confirmation box.
Note: Once a new email address is generated, the old email address will be invalid and WorkDrive will no longer allow file uploads through that email address. - Click Copy email and share the email address with team members or external users who need to upload files.
- Attachments sent to this email address will be uploaded to Team Folder > Email Attachments by default.
- To change the folder location, click Change location, choose the desired folder or create a new folder in the Team Folder to store those files.
Once the folder location is changed, all new files sent via email will be uploaded to the new location. - Mark the checkbox below Folder location if you want to allow only email uploads from members with editor, organizer, or admin roles in this team folder.

Files sent via email will not be uploaded to the specified location in a Team Folder if:
- The email service’s upload limits (maximum file size per file, total file size or total number of files) are exceeded.
- File uploads via email is disabled in the Team Folder.
- The user has no permission to upload, or their role has been changed.
- When restricted, only members with Edit, Organizer, or Admin roles can upload via email.
- The Team Folder is no longer available.
- The Team Folder email address is invalid or has been changed.
- Your WorkDrive storage is full.
To restrict file uploads via email:
- Navigate to Team Folder > Manage > Settings.
- Toggle off Allow file uploads via email.
File uploads via email will no longer be uploaded in the Team Folder.
External Sharing in a Team Folder
Team Folder admins can choose whether to allow files and folders to be shared outside this team or not.
To allow/restrict external sharing in a Team Folder:
- Navigate to Team Folder > Manage > Settings.
- Toggle on or off Allow Team Folder members to share outside your team to enable or disable external sharing.
Info:
- If external sharing is disabled at the team level, then Team Folder Admins cannot enable or disable it in their Team Folders.
- If external sharing is enabled at the team level, then Team Folder Admins can choose to enable or disable external sharing in their Team Folder.
- If external sharing is enabled in a Team Folder, only the Admins and Organizers of the Team Folder can share files and folders externally.
Download and Print Option
By default, members and external collaborators with Editor, Organizer, and Admin access in a Team Folder can download and print files.
As a Team Folder Admin, you can choose to enable or disable the download and print button for users with Viewer and Commenter access.
This is useful when sharing confidential documents such as financial reports or draft agreements, where you may want people to view or comment on the content, but not download or print it. This helps prevent unauthorized distribution while still allowing collaboration.
To show/hide download and print options:
- Navigate to Team Folder > Manage > Settings.
- Toggle on or off Show download and print options to allow or restrict downloads.
Info:
- If a member has multiple access levels through Groups and individual roles, the higher role applies.
- If a Viewer or Commenter is also part of a Group with Editor (or higher) access in the same Team Folder, they will still be able to download and print, even if download and print option is turned off for Viewers and Commenters.
- When download is restricted in a Team Folder, users with Viewer or Commenter access cannot sync those files to their computer using the WorkDrive Sync or TrueSync apps.
When members upload documents, spreadsheets, and presentations to a Team Folder, these files can be automatically converted into WorkDrive’s native formats. Converted files open directly in Writer, Sheet, or Show, making it easier for teams to edit and collaborate online without additional software. View

To enable file conversion to WorkDrive formats:
- Navigate to Team Folder > Manage > Settings.
- Toggle on or off Convert all files to Zoho WorkDrive's format on upload.
Info:
- Team Folder admins can modify the automatic file conversion setting for a team folder only when the team-level policy allows them to manage it.
- Files uploaded via WorkDrive Sync and TrueSync apps will not be converted automatically. You will need to manually open these files in their respective apps to convert them.
