Zia is Zoho's artificial intelligence designed to offer advanced capabilities and automation across Zoho applications. By integrating Zia with WorkDrive, you can unlock powerful AI capabilities, enhance collaboration, boost productivity, and streamline the content creation process within the WorkDrive platform.

Enable the Zia AI integration

InfoImportant: As an admin or super admin of a WorkDrive team, you can enable all supported AI services and set a preferred AI service for each AI-powered feature under the Manage AI Features section.

This feature is currently available only for users in the US, IN, EU, AU, and CA data centers.

Currently, WorkDrive supports the following AI services:


  1. Zoho AI, our in-house AI service
    1. Can be enabled directly without requiring an additional key.

  2. OpenAI
    1. You must bring your own key (OpenAI secret key) to enable this integration.
    2. Before setting up the integration, it's important to review OpenAI's privacy policies.
    3. The number of generations, summaries, and suggestions available depends on your OpenAI subscription plan.
    4. If Open AI has already been configured for your team via another Zoho app (Writer, Sheet, or Show), we'll automatically detect it and allow you to use that integration within the WorkDrive platform.

Important: Please be aware that a ChatGPT subscription is different from an OpenAI API subscription.
  1. If you encounter billing-related errors while using Zia with OpenAI, it might be because your ChatGPT subscription does not cover API usage.
  2. To make API calls to OpenAI, you need an active API subscription with a sufficient credit balance.
  3. You can check your credit balance in the OpenAI Platform by visiting this link: OpenAI Billing Overview
  4. If there is no credit balance, Zia will not receive a response to your query in WorkDrive when OpenAI services are configured for Zia.
  5. Make sure your API subscription is active and topped up to ensure uninterrupted service.

To configure the supported AI service

  1. Sign in to your WorkDrive account as an admin or super admin.
  2. Click Admin Console in the bottom-left corner to open the Admin Console window.
  3. Select Settings from the left pane and navigate to the Zia AI Setup window.



  4. Activate one or both of the following AI services:

    1. Zoho AI: Zoho's built-in AI allows you to generate content, summaries, and comment suggestions with ease. It also supports translating user comments into various languages to facilitate seamless communication.
      Note: Currently, Zoho AI does not support generating images or cover images.

    2. Open AI: OpenAI integration offers all the features of Zoho AI, including generating content, summaries, comment suggestions, and translating user comments. It also provides an option to generate images and cover images to give you an edge in visual content creation.

To configure Open AI service in WorkDrive

  1. Select OpenAI as your preferred AI service.
  2. Enter your OpenAI secret key in the Configure OpenAI Integration dialog box.
  3. Click Activate OpenAI Integration to complete the setup.

To find your OpenAI secret key

  1. Visit platform.openai.com/account/api-keys and sign in to your OpenAI account.
  2. Under the API Keys tab, click + Create new secret key.
  3. Enter a secret key name for future reference and click Create secret key.
  4. Copy the generated secret key on the next screen.
NotesNote: Store this secret key somewhere safe and accessible, as you won't be able to view it again through your OpenAI account for security reasons. If you lose the secret key, you'll need to generate a new one by clicking the + Create new secret key button. Learn more

This action will enable the Zia AI integration for your WorkDrive account and make it available to you and your team members.

WorkDrive individual plan (Free edition) users

WorkDrive individual plan (Free edition) users can utilize advanced Zia AI capabilities by activating the Zia AI integration under Preferences.

To do this:
  1. Sign in to your WorkDrive account.
  2. Click the Account Details (Profile) icon located in the top-right corner and choose My Preferences.
  3. Select Zia AI in the left pane and activate the supported AI services to start using Zia’s advanced features.

Leveraging Zia features

Once AI services are configured for your team, you can use AI-powered features across WorkDrive to ask questions about files, create content and images, summarize files, enhance and translate comments, generate cover images for media files, and more.

Managing AI services in WorkDrive

As an Admin or Super Admin, you have full control over AI services in WorkDrive. You can:
  1. Enable or disable AI services (Zoho AI and OpenAI) as needed.
  2. Set a preferred AI service for each AI-powered feature.
  3. Update the OpenAI secret key when required.

Enabling or disabling AI services

WorkDrive allows you to manage AI services based on your requirements. Follow these steps to enable or disable Zoho AI or OpenAI:
  1. Sign in to your WorkDrive account as an admin or super admin.
  2. Click Admin Console in the bottom-left corner. This will open the Admin Console window.
  3. Select Settings from the left pane and navigate to the Zia AI Setup window.
  4. Locate the AI services Zoho AI and OpenAI.
  5. Click Activate to enable or Deactivate to disable the desired AI service.

Managing AI features and their preferred AI services

After enabling AI services in WorkDrive, you can control which AI-powered features are available to your team and choose the AI service each feature uses.
  1. Activate the supported AI services (Zoho AI and OpenAI).
  2. Scroll down to the Manage AI Features section.
  3. View the list of available AI-powered features in WorkDrive.
  4. Toggle on/off each AI feature to enable/disable it for your team.
  5. For each enabled feature, select the AI service you want to use from the dropdown menu. 

NotesNote: Image and cover image generation are not supported by Zoho AI. To use this feature, you must enable OpenAI services in your WorkDrive account.

Updating the OpenAI secret key

If you need to update the OpenAI secret key, follow these steps:


  1. Sign in to your WorkDrive account as an admin or super admin.
  2. Click Admin Console in the bottom-left corner. This will open the Admin Console window.
  3. Select Settings from the left pane and navigate to the Zia AI Setup window.
  4. Click the Edit option in the OpenAI field and provide the new API key from the OpenAI site.
  5. Click Update.
