Zia is Zoho's artificial intelligence designed to offer advanced capabilities and automation across Zoho applications. By integrating Zia with WorkDrive, you can unlock powerful AI capabilities, enhance collaboration, boost productivity, and streamline the content creation process within the WorkDrive platform.
Enable the Zia AI integration
To utilize the advanced AI capabilities of Zia, you must first enable this integration at a team level from the Admin Console.
Notes:
- Only the admin or super admin of a WorkDrive team can enable the integration.
- Before setting up the integration, it's important to review the privacy-related policies of OpenAI, as Zia's capabilities are derived from OpenAI.
- The number of generations, summaries, and suggestions Zia can provide is limited based on your OpenAI plan subscription.
- If Zia AI has already been configured for your team via another Zoho app (Writer, Sheet, or Show), we'll automatically detect it and allow you to use that integration within the WorkDrive platform.
- Sign in to your WorkDrive account as an admin or super admin.
- Click Admin Console in the bottom-left corner. This will open the Admin Console window.
- Select Settings from the left pane and navigate to the Zia AI Setup window.
- Enter your OpenAI Secret Key under Set up Zia AI to enable this integration.
Notes:
i) Before setting up the integration, it's important to review the privacy-related policies of OpenAI, as Zia's capabilities are derived from OpenAI.
ii) The number of generations, summaries, and suggestions Zia can provide is limited based on your OpenAI plan subscription. To find your OpenAI secret key:
- Visit platform.openai.com/account/api-keys and sign in to your OpenAI account.
- Under the API Keys tab, click + Create new secret key button.
- Enter a secret key name for future reference and click Create secret key.
- Copy the generated secret key on the next screen.
Note: Store this secret key somewhere safe and accessible, as you won't be able to view it again through your OpenAI account for security reasons. If you lose the secret key, you'll need to generate a new one by clicking the + Create new secret key button. Learn more - Paste the copied secret key into the OpenAI Secret Key field in the WorkDrive Admin Console and click Activate Zia AI. This action will enable the Zia AI integration for your WorkDrive account and make it available to you and your team members.
WorkDrive Individual plan (Free edition) users
WorkDrive individual plan (Free edition) users can utilize advanced Zia AI capabilities by activating the Zia AI integration under Preferences.
To do this:
- Sign in to your WorkDrive account.
- Click on the Account Details (Profile) icon located in the top-right corner and choose My Preferences. This will open the My Preferences window.
- Select Zia AI in the left pane to activate or deactivate its features.

Generate content and images
Zia AI helps you generate content and images within the WorkDrive platform. Whether you're working on a blog post, article, social media post, or presentation, Zia can enhance the quality and efficiency of your content creation process.
Comment suggestions
In a collaborative work environment, effective communication is crucial. The Zia AI integration provides real-time commenting suggestions to enhance your messages. Zia AI can help rephrase, shorten, and punctuate your comments, ensuring clarity and professionalism. This promotes seamless collaboration among team members, leading to improved productivity and streamlined workflows.
Generate cover images for media files
Zia utilizes DALL-E, an AI system that generates images and art based on user descriptions. Generate visually appealing cover images for your audio and video files based on your needs within the WorkDrive platform.
Edit OpenAI secret key
As an admin or super admin, you have the ability to edit the OpenAI secret key whenever necessary. To do so:
- Sign in to your WorkDrive account as an admin or super admin.
- Click Admin Console in the bottom-left corner. This will open the Admin Console window.
- Select Settings from the left pane and navigate to the Zia AI Setup window. The Zia AI Setup window will appear on the screen.
- Click the Edit icon next to the OpenAI secret key field and provide the new API key from the OpenAI site.
- Click the Submit icon.
Disable the Zia AI integration
Once the integration is disabled, you cannot utilize Zia's AI capabilities. You can choose to re-enable the integration whenever needed.
Note: Only the admin or super admin of a WorkDrive team can disable the integration from the Admin Console.
To disable Zia AI:
- Sign in to your WorkDrive account as an admin or super admin.
- Click Admin Console in the bottom-left corner. This will open the Admin Console window.
- Select Settings from the left pane and navigate to the Zia AI Setup window.
- Click on the Deactivate button next to the OpenAI Secret Key field and confirm. This will disable the integration at the team level and you will no longer be able to utilize Zia's capabilities.
