View and manage your shared items
Managing shared items helps you track, review, and control all the files and folders you’ve shared with others. From a single place, you can view how items are shared, filter them by sharing type or file type, and update share settings whenever required.
Only Team Folder Admins and Organizers can view and manage shared items in that Team Folder.
View and manage shared items in My Folders / Team Folder
- Navigate to My Folders/ Team Folders from the left pane.
- Click Manage from the top action bar and choose Shared Items from the dropdown.
All files and folders shared from My Folders/ Team Folder will be listed. - You can filter shared items based on share type:
- Direct sharing to external users (via email address)
- Visibility to anyone on the internet
- Shared via external share links
- Shared via download links
- Published outside team (via Writer, Sheet, Show or embed code)
- Search by file/folder name
- Shared within team
a) All shared types
b) Direct sharing to team members (via email address)
c) Visibility to anyone on the team
d) Published within team (via Writer, Sheet, Show)
4. You can also search by file or folder name. Any matching files or folders that have been shared using any sharing method will be listed. To narrow down results further, choose a file type:
- All File Types
- Folders
- Documents
- Spreadsheets
- Presentations
- PDF
- Images
- Videos
- Audio
To view or modify sharing details, hover over the required file or folder and click Share details. From there, you can review existing shares, update your share preferences, or remove sharing as needed.
