Summarize files with Zia

Zia can quickly generate a concise summary of any file, helping you understand key points without going through the entire content. It works across multiple file types, making it easier to review, reference, and extract important information in seconds.

Pre-requisites  

To use Zia features, your Team Admin or Super Admin must have activated Zia by setting up the Zoho AI service at the team level. Learn how to activate Zia settings

Generate file summary

  1. Open the file in preview mode and click the Zia icon in the right pane. 
    The
    Zia window will open, with the Generate File Summary option selected by default.



  2. Click Generate to create a summary of the file. 
    Zia will analyze the content and provide a summary based on the file's key highlights.

Manage the generated summary
Once the summary is generated, you can manage it based on your needs.
  1. Click Save to store the summary in WorkDrive as a .zdoc file.
  2. Click Copy to reuse the summarized content elsewhere as needed.
  3. Click Preview to view the summary in a mini preview window.

Supported file formats

  1. Document files: pdf, doc, docx, odt, rtf, txt, zwriter
  2. Spreadsheet files: xls, xlsx, ods, zsheet
  3. Presentation files: ppt, pptx, odp, zslides
  4. Image files: jpeg, jpg, png, tiff, tif, bmp, odg
  5. Audio files: wav, flac, mp3, opus, m4a
  6. Video files: mp4, mpeg, mpg, mov, avi, flv, webm, wmv, mkv, swf

Limitations

  1. You can generate file summaries using either Zoho AI or OpenAI, each with the following character indexing limits:
    1. Zoho AI: Indexes up to the first 100,000 characters of the file for summary generation.
    2. OpenAI: Indexes up to the first 400,000 characters of the file for summary generation.
  2. File summaries can be generated only for files with a minimum of 500 characters.
  3. The maximum supported duration for media files is 5 hours.
  4. For files that exceed this duration, transcription will be generated only for the supported portion of the media.
  5. The maximum supported media file size is 1.82 GB.
