Generate file summary using Zia
Get a quick, clear understanding of any file without reading it end to end. File Summary uses Zia to instantly highlight the most important points from your documents, media files, and images, so you can grasp key information at a glance and stay focused on what matters.
This saves time, reduces manual effort, and helps you work more efficiently across your team.
Available in Zoho WorkDrive Business and Zoho One plans only.
Available for users in the US, IN, EU, AU, and CA data centres only.
Pre-requisites
To use Zia features, your Team Admin or Super Admin must have activated Zia by setting up the Zoho AI service at the team level.
Generate file summary
- Open the file in preview mode and click the Zia icon in the right pane.
The Zia window will open, with the Generate File Summary option selected by default. - Click Generate to create a summary of the file.
Zia will analyze the content and provide a summary based on the file's key highlights.

After generating a summary, you can manage the content using the following options:

- Save the summary directly to WorkDrive as a .zdoc file (Zoho Writer format).
- Copy the summarized content, allowing you to reuse it elsewhere as needed.
- Preview the summarized content in a mini preview window.
Supported file formats for file summary
- Document files: pdf, doc, docx, odt, rtf, txt, zwriter
- Spreadsheet files: xls, xlsx, ods, zsheet
- Presentation files: ppt, pptx, odp, zslides
- Image files: jpeg, jpg, png, tiff, tif, bmp, odg
- Audio files: wav, flac, mp3, opus, m4a
- Video files: mp4, mpeg, mpg, mov, avi, flv, webm, wmv, mkv, swf
Limitations
- You can generate file summaries using either Zoho AI or OpenAI, each with the following character indexing limits:
- Zoho AI: Indexes up to the first 100,000 characters of the file for summary generation.
- OpenAI: Indexes up to the first 400,000 characters of the file for summary generation.
- File summaries can be generated only for files with a minimum of 500 characters.
- The maximum supported duration for media files is 5 hours.
For files that exceed this duration, transcription will be generated only for the supported portion of the media. - The maximum supported media file size is 1.82 GB.
