Generate file summary using Zia AI
Generate instant summaries of your file's key highlights with Zia, ensuring you never miss important information. This feature saves you time by providing a concise version of the file's important details, helping you focus on what matters most without having to read through lengthy documents.
Important:
To enable AI-powered capabilities in WorkDrive, the team admin or super admin must activate Zia AI and set up the appropriate AI service at the team level. Learn how to activate Zia AI settings in WorkDrive
This feature is currently available only for users in the US, IN, EU, AU, and CA data centers.
AI services supported in WorkDrive:
- Zoho AI, our in-house AI service (Powered by open-source large language models)
- Can be enabled directly without requiring an additional key.
- OpenAI
- You must bring your own key (OpenAI secret key) to enable this integration.
- Before setting up the integration, it's important to review OpenAI's privacy policies.
- The number of generations, summaries, and suggestions available depends on your OpenAI subscription plan.
- If Open AI has already been configured for your team via another Zoho app (Writer, Sheet, or Show), we'll automatically detect it and allow you to use that integration within the WorkDrive platform.
Notes:
- You can generate file summaries using either Zoho AI or OpenAI, each with the following character indexing limits:
- Zoho AI: Indexes up to the first 100,000 characters of the file for summary generation.
- OpenAI: Indexes up to the first 400,000 characters of the file for summary generation.
- The Generate File Summary option is only available for supported file formats that allow text extraction.
Supported file formats for text extraction:
Documents:
- Microsoft Word: .doc, .docx
- OpenOffice/LibreOffice: .odt
- Rich Text Format: .rtf
- Plain Text: .txt
Spreadsheets:
- Microsoft Excel: .xls, .xlsx
- OpenOffice/LibreOffice: .ods
Presentations:
- Microsoft PowerPoint: .ppt, .pptx
- OpenOffice/LibreOffice: .odp
Other file formats:
- PDFs: .pdf
- Images: .jpg, .jpeg, .png, .bmp, .tif, .tiff
To generate file summary:
- Open the file in preview mode and click the Zia icon in the right pane.
The Zia AI window will open, with the Generate File Summary option selected by default. - Click Generate to create a summary of the file.
Zia will analyze the content and provide a summary based on the file's key highlights.
Manage the generated summary:
After generating a summary, you can manage the content using the following options:
- Save the summary directly to WorkDrive as a .zdoc file (Zoho Writer format).
- Copy the summarized content, allowing you to reuse it elsewhere as needed.
- Preview the summarized content in a mini preview window.
