Rate Rules in Workerly

Rate rules are used to define 'Overtime' and 'Special' pay rates in Workerly. Learn more about overtime and special rate cards in Workerly, and calculate your temp's pay accurately.
Availability: Feature is available for users with admin access, using a basic trial or paid account.


Create an Overtime Rate 

Follow the below steps to declare overtime pay:
  1. Navigate to Setup > Rates and Rules > Rate Rules.
  2. Toggle the switch next to Overtime Rates on.

  3. Specify the work hours temps must exceed before this overtime rate is applicable. These hours can be on a daily or weekly basis.
  4. Add a percentage increase or a flat rate that temps will get for working overtime.

  5. Click Save.
Scenario:
Amelia is working as a temp nurse. Her base pay is $40/hour, and she works nine hours per day. She occasionally has to work overtime. Her agency has a fixed overtime rate of 150%. Let's analyze how much she will get paid for working 12 hours.

Base pay: $40/hour
Overtime rate: 150%
Normal working hours: 9 hours
Amelia worked for 12 hours, so 3 will be calculated as overtime.

Therefore, Amelia's pay will be calculated as follows:
Paid amount for working 9 hours (A): 9*40 = $360
Paid amount for working overtime for 3 hours (B): 3*60 = $180
Amelia will be paid (A)+(B): $540

Let's take a look at how much the client will be charged for Amelia's shift. 
Base pay: $40/hour
Benefit cost: 10% 
Agency charge: $10 
The client will be charged $54/hour

For Amelia's shift, the client's bill amount will be calculated as follows:
Charges for normal working hours (C): 9*54= $489
Charges for overtime working hours (D): 3*81 = $243
The total (C)+(D): $732


The complex process above can be simplified when you define these rate rules in advance. This means less paperwork and much faster calculations!

Create a Special Rate 


  1. Navigate to Setup > Rates and Rules > Rate Rules
  2. Toggle the switch next to Special Rates on.
  3. Define the dates for which these rates are applicable, and click on the required rate tab to define rates for each.
    You can define the rates either in percentage or as a flat rate.
  4. Weekday Rate
    You can define a maximum of 5 weekday rates.

Scenario
Amelia is working as a temp nurse. Her base pay is $40/hour. Usually, work hours are 9am to 6pm. Her agency has fixed a special pay rate for working apart from the usual work hours. The split is as follows:

6pm

9pm

150%

9pm

12am

200%


Let's analyze how much she will get paid for working from 1pm to 10pm.
Base pay: $40/hour

Amelia's pay will be calculated as follows:
Paid amount for working from 1pm to 6pm (A): 5*40 = $200
Paid amount for working from 6pm to 9pm (B): 3*60 = $180
Paid amount for working from 9pm to 10pm (C): 1*80 = $80
Amelia will be paid (A+B+C): $460

Let's take a look at how much the client will be charged for Amelia's shift. 
Base pay: $40/hour
Benefit Cost: 10%
Agency charge: $10
The client will be charged $54/hour

For Amelia's shift, the client's bill amount will be calculated as follows:
Charges for working from 1pm to 6pm (D): 5*54 = $270
Charges for working from 6pm to 9pm (E): 3*81 = $243
Charges for working from 9pm to 10pm (F): 1*108 = $108
The total (D+E+F): $621

The complex process above can be simplified when you define these rate rules in advance. This means less paperwork and much faster calculations!
  1. Weekend Rate
    You can define a maximum of 5 weekend rates.

  2. Holiday Rate 
    You can define up to 15 holidays for a year.

  3. Click Save, and these rates are ready to use.

Editing Rate Rules 

Clients Module
The rate rule defined on the Setup page will be mapped to Billing Rules on the Create Clients page. These are editable fields, and you can have custom rate rules at the client level.

 

Jobs Module

When you create a new job for a particular client, their respective rate rules will be mapped automatically below Billing Rules. These are again editable fields which allow you to have custom rate rules for the job.
Note: A rate rule defined while creating a job for a client will be applicable only for that particular job. Any new job created for the same client will not have the same rate rule applied.


Scenario: You have defined Overtime Rate on the Setup page as 150% after 9 working hours per day. Now, you are creating a new client, Zylker, and this rule gets mapped below Billing Rules.
You can change them if Zylker has different requirements. Let's say that they have an overtime pay percentage of 200%. The can be updated while creating the client's profile in Zoho Workerly.

Now, when you go to create a job for Zylker, this new overtime rate rule (200% after 9 working hours per day) will get mapped automatically below Billing Rules.

The Hourly Rate tells you the final client charges after you have declared the billing information for the job. Again, if you wish to edit the overtime rate rule or switch to special rates at this stage, you can simply add the rate rules and hit save.
Note: 
  1. Both overtime and special pay percentage should be added above 100. So if you wish to add 50% on top of what a temp is already getting paid, the percentage would be 150%.
  2. You can enable either Overtime Rates or Special Rates at a time. However, you can switch from Overtime Rates to Special Rates or vice-versa anytime from the Setup, Create Client or Create Job. Temp rates will be calculated according to the Rate Rule that is currently active (Overtime or Special)
  3. You can declare Overtime Rate as a percentage or as a flat rate on per day or week basis.
  4. Timesheet type: Users can choose the type of timesheet they would like to generate.
    - With Start & End time specified
    - Only Hours specified
    Both timesheet types can be used for Overtime Rate whereas only Start & End timesheet type can be used for Special Rates. Special rates take into account break hours, excluding them from the rate calculation. The 'Start and End' timesheet type is the only one where break hours can be specified.
  5. Rate rules cannot be edited for jobs after scheduling temps. In this case, you must unassign temps to edit rate rules.
  6. Start time and End time should not overlap while defining rate rules.
