Usage reports help admins gain insights into and analyze data usage within the organization, in specific departments, or among individual users.
An admin can view the usage reports in Cliq by doing the following:
- Navigate to the admin panel, and under reports, select "Usage Reports."
As per your organization's Cliq subscription plan, the availability and scope of usage reports differ.
- Free plan: Usage reports are not supported.
- Standard plan: Users can access the Organization tab, which displays reports for up to 60 days.
- Professional plan: Users have access to the Organization tab, where they can view reports. Additionally, they can generate reports for custom date ranges.
- Enterprise plan: This plan offers the most comprehensive reporting capabilities. Users can access the Organization, Department, and Users tabs. Furthermore, users can generate custom date range reports and detailed usage reports.
The usage reports are categorized into three tabs: Organization, Department, and Users.
Organization (available for standard, professional and enterprise plans)
You can access a variety of reporting options in Zoho Cliq, allowing you to gain insights into your organization's activities over different time frames. You will find the cumulative count of the report for the organization in the form of a summary. You can view the reports of the last 7 days, 30 days, 3 months, 6 months, and a year. You may also view reports across custom timelines of your choice. You may also customize your dates to view the report.
The organization report provides a comprehensive overview of the following categories:
- Users
You can see the count of the active users in a bar graph. - Top active users
You will be able to view the top active users based on the count of their activity. The list will display the user's name, the number of messages sent, calls and meetings made, and the channels and group chats created. By clicking "show all," you can view the entire list. - Top active department
You can view the top active departments based on each department's activity count. The list will be displayed with the department's name, the number of messages sent, the number of calls and meetings made, and the channels created. By clicking Show All, you will be able to view the entire list. - Conversations
Conversations are classified into messages, active channels, and new channels.
Messages:
You can view all the messages sent in the organization. The bar graph has different colors indicating different conversation types (channels, group chats, and direct messages).
Active channels:
You can view all the active channels. The bar graph represents different channel types with different colors.
New channels:
You can view all the new channels created. The bar graph represents different channel types created with different colors. - Calls and meetings
Calls and meetings are classified into direct calls, meetings, and live events.
Direct calls:
The direct calls (audio, video, and screen sharing) made by the organization users can be viewed here. The bar graph represents different direct call types with different colors.
Meetings:
You can view all the meetings (audio and video) initiated by the org users here. The bar graph represents different meeting types with different colors.
Live Events:
You can view all the live events created by the organization. - Files
You can view all the files shared (images, videos, audio, files, and documents) across the organization here. The bar graph represents different file types with different colors. - Task management
You can view all the reminder counts set by your organization.
Department (Available only with enterprise plan)
Here, you will gain valuable insights into departmental usage within your organization. You can explore an overview of departmental usage, view the details of a specific department, and even make comparisons between different departments.
You can view the reports of the previous day, the last 7 days, 30 days, 3 months, 6 months, and a year. You may also customize your dates to view the report.
You will find the accumulative count of the report for a department in the form of a summary.
The department report provides a comprehensive overview of the following categories:
- Users
You can see the count of the active users in a particular department selected in the form of a bar graph. - Conversations
Messages:
In the Conversations section, you can view the count of message types sent by the department and filter them further by Count or Average, providing deeper insights into messaging patterns. The bar graph has different colors indicating different conversation types (channels, group chats, and direct messages). - Calls and meetings
Calls and meetings are classified as direct calls and meetings.
Direct calls:
The direct calls (audio, video, and screen sharing) made by department users can be viewed here. The bar graph represents different direct call types with different colors.
Meetings:
You can view all the meetings (audio and video) made by the department users here. The bar graph represents different meeting types with different colors. - Files shared
You can view all the files shared (images, videos, audio, files, and documents) by the members of the department. The bar graph represents different file types with different colors. - Task management
You can view all the reminder counts set by your department.
Users (available only with enterprise plan)
In this section, you can view and analyze the usage of individual users within your organization. You can also compare one user's statistics with those of another, offering a detailed view of user-specific activities.
You can view the reports of yesterday, the last 7 days, 30 days, 3 months, 6 months, and a year. You may also customize your dates to view the report.
You will find the cumulative count of the report for a user in the form of a summary.
The user report provides a comprehensive overview of the following categories:
- Conversations
Conversations are classified into messages and new channels.
Messages:
You can view all the messages sent by the user. The bar graph has different colors indicating different conversation types (channels, group chats, and direct messages).
New channels:
You can view all the new channels created by the user. The bar graph represents different channel types created with different colors. - Calls and meetings
Calls and meetings are classified into direct calls, meetings, and live events.
Direct calls:
The direct calls (audio, video, and screen sharing) can be viewed here. The bar graph represents different direct call types with different colors.
Meetings:
You can view all the meetings (audio and video) initiated and attended by the user here. The bar graph represents different meeting types with different colors.
Live Events:
You can view all the live events scheduled by the user. - Files
You can view all the files shared (images, videos, audio, files, and documents) by the user across the organization here. The bar graph represents different file types with different colors. - Task management
You can view all the reminder counts set by the user.
Compare usage reports between departments/users
You can compare reports across departments or users by selecting one and checking the 'Compare with' box to choose another department or user for comparison. This displays bars representing each department/user, with bars omitted on days where no data is available for that selection.
Export-Usage Reports
You can export your usage reports in XLS format. Follow the steps below:
- Click on the download icon in the top-right corner.
- You will see two options: "New Export" and "View Export History."
New Export
Click on "New Export" to start a new export. A confirmation export form will be displayed. The admin needs to choose from the following options:
- Set security from the options: None, password protected, and password encrypted. If the admin selects password-protected and enters a password, the user can only open the file by entering the password.
- Select what should be included in the usage reports from the various available categories.
Once you've selected what to export from the categories and chosen the file format, click "Export."
View Export History
- All your exports will be listed here in a tabular format, displaying date, scope, exported by, and data exported.
- The list also provides actions that can be performed on each entry. You can either download the report in xls format or delete the entry from the list.
