Clockify

Clockify is a time tracking and productivity tool that helps individuals and teams manage tasks and projects efficiently. By integrating Clockify with Zoho Cliq, you can seamlessly create and manage tasks, receive instant updates, and access client details—all within Zoho Cliq.
Info: The extension is currently only available in the US region.

Installation   

  1. Go to the Zoho Cliq Marketplace and search for "Clockify", or install it directly from this link.
  2. Choose whether to install the extension for your entire organization or specific teams.
  3. Accept the extension's permission requests, and you're ready to go.

Key Features   

Switch workspace   

Bot menu action: Switch workspaces to create and view tasks.

  1. Go to the Clockify bot, then select Switch Workspace.
  2. Choose the workspace and click Configure.

Widget: Switch workspaces and manage tasks directly from the widget.

  1. Go to the widget, select Tasks, and click Switch Workspace.
  2. Select the workspace and click Associate.

Switch project   

Widget: Switch projects within a workspace to manage specific tasks.

  1. Go to the widget, select Tasks, and click Switch Project.
  2. Choose the project and click 'Associate.'

Create tasks   

  • Bot menu action: Create tasks directly from Zoho Cliq.

    1. Go to the Clockify bot, select Task, then New Task.
  • Message action: Convert a message into a Clockify task.

    • Hover over a message, click the three dots, and select More.
    • Type 'Clockify' and select Create Task.
Once you have selected create task, a form will appear where you'll need to add the following details:
  • Select the project you want to create a task for
  • Enter the name of the task
  • Choose assignees for the task
  • Enable/disable if you want the task to be billable
  • Pick start date and end date
  • Enter the description of the task.

 Manage tasks   

  • Widget: View and manage tasks.

    • Edit: Update task title and assignees.
    • Mark as Complete: Mark tasks as completed.
    • Delete: Remove tasks.
    • Filter: View specific tasks using filters like Overdue, Today's Tasks, or Upcoming Tasks.
  • Bot menu action: View today’s tasks.

    • Go to the Clockify bot, select Task, then Tasks Due Today to see tasks with an end date of today.
  • Slash command: Use /clockify in any channel or chat to instantly view today's tasks.

Map channel for notifications   

  • Bot menu action: Receive instant notifications for actions performed in Clockify.

    • Go to the Clockify bot, select Notifications, then Map Channels.
    • Choose the project, select the events (Task, Timer, Client), and associate them with a channel.
    • Notifications will be sent to the associated channel.

Notifications for the following events:  

  • Task creation

    • Receive instant alerts whenever a new task is created in your project. This ensures you're always informed about new tasks created and who they are assigned to.
  • Task updated

    • Get notified when any task is updated, keeping you aware of changes in task details, assignees, or deadlines.
  • Task deleted

    • Stay informed when a task is deleted, helping you track the removal of tasks and adjust your priorities accordingly.
  • Task marked as complete

    • Be alerted when a task is marked as complete, allowing you to monitor progress.
  • Start and end time of a task

    • Receive notifications about the start and end times of tasks, ensuring you track the time spent and manage productivity effectively.
  • Add client

    • Get updates when a new client is added, as well as any updates on the client details.

View mappings   

  • Bot menu action: View all channel mappings.

    • Go to the Clockify bot, select Notifications, then View Mappings.
    • All workspace mappings will be displayed, allowing you to edit or unmap them.

View and manage client details   

  • Widget: Add and view client details.

    • Navigate to the Widget, then select the Client tab. All your client details will be displayed here.
    • To add a new client, click the Add Client option in the top-right corner.
    • Enter details like Client Name, Email Address, Additional Notes, and Address.
