Webex Meetings

By Integrating Webex Meetings with Zoho Cliq, you can create and join meetings inside Cliq. You will also be able to perform various actions related to the meeting.

Installation 

  1. To install the extension, click the following link or go to the Zoho Cliq Marketplace and search for "Webex meetings".  
  1. After successful installation, enter your credentials.

Bot 

Upon successful authentication of the account, a bot message will be posted along with the following bot actions:

  • Create Meetings

  • Meetings

  • Notifications

  • Help

Create Meetings 

You can create your webex meetings here by clicking the Create Meetings bot action. A Create Meeting form will appear, where you can fill in details regarding the meeting.

The following details will be required to create a meeting:
  • Meeting topic: The topic that will be discussed during the meeting.
  • Meeting agenda: The agenda of the meeting.
  • Meeting password: The attendees must enter the password to join the meeting.
  • Start Time: The date and time you want the meeting to start.
  • End Time: The date and time you want the meeting to end.
  • Invitees: Add participants by entering their email addresses separated by a comma.
After entering the details, click the Create Meeting button. A message card will be posted in the bot.
The invitees will receive the following meeting invitation message card posted in the bot.

Note:
The invitation notification will only be posted via bot if the host and the invitee are part of the same Cliq organization.


Meetings 

In the meetings bot action, you will have two options to choose from:

  • Upcoming

  • Completed

Upcoming

Upon clicking Upcoming, you can view a list of all the upcoming meetings scheduled.
Completed

On clicking Completed, you will be able to view a list of all the completed meetings.

Notifications 

You can select the Notifications bot and choose Enable/Disable to receive/disable notifications related to the meetings.

Help 

By selecting the Help bot action, a message will be posted by the bot to guide you through what the integration offers.

Widget 

The widget has three tabs: Today, Upcoming, and Completed

Today 

Your meetings for the day will be classified into Upcoming and Completed here. The listed meetings will have details such as the topic, agenda, host, password, meeting time, and meeting number, along with a few actions related to the meeting that a user can perform, such as Join Meeting, Update, Cancel Meeting, and View invitees. You can also select the Create meeting button to create a meeting.

Upcoming 

All your upcoming meetings will be listed here. The listed meetings will have details such as the topic, agenda, host, password, meeting time, and meeting number, along with a few actions related to the meeting that a user can perform, such as Join Meeting, Update, Cancel Meeting and View invitees. You can also select the Create Meeting button to create a meeting.

Completed

You will be able to view the meetings you have attended here. The listed meetings will have details such as the topic, agenda, host, and meeting time, along with an Attendance Report button that will help you view the list of meeting attendees.

Slash commands 

You can use the /webexmeetings slash command in your message composer and use the four suggestions:
  • Create a meeting: Displays a form to enter details to create a meeting.

  • Today's upcoming meetings: Fetches the list of today's upcoming meetings.

  • Today's completed meetings: Fetches the list of today's completed meetings

  • All Upcoming meetings: Fetches the list of all upcoming meetings.

Scheduler 

By default, you will receive the meeting list scheduled for today as a message in the bot. If no meetings are scheduled, you will receive a "No meetings scheduled for today" message in the bot.

Message actions

In Zoho Cliq, you can use message actions to convert a message into the meeting topic for the WebEx meeting, and you can create a meeting.
