Recording Cliq meetings

All the meetings can be recorded by the host and co-host and accessed by the participants only if permission to access meeting recording is enabled under meeting permissions. You can only record Cliq meetings if the admin has enabled recording meetings for your organization.

Enabling meeting recording in Cliq 

Once the admin has enabled the configuration for your organization, you might set your preferences for recording your meeting your meeting.

How to record meetings in Zoho Cliq   

You can record meetings while scheduling them, starting a meeting, or for an ongoing meeting if you are the host or co-host.

While scheduling/starting a meeting

When you schedule a meeting, check the box to record; your meeting will automatically start recording as soon as it starts.

  • When you start a meeting, you will be asked if you want to record it in the meeting preview.

Ongoing meeting

Web & Desktop

To record an ongoing meeting using the web or desktop app, do the following:
  1. Click the meatballs icon and select "Start recording".

iOS

To record an ongoing meeting using Cliq app on an iOS device, do the following:
  1. Click the meatballs icon and select "Start recording".

Android

To record an ongoing meeting using Cliq app on an android device, do the following:

  1. Click the meatballs icon and select "Start recording".

 

Where can I see my meeting recordings? 

You can view your meeting recordings in the following:
  1. Media files in a particular channel or group chat.
  1. Meetings tab in the navigation sidebar.
  1. Files tab in the navigation sidebar.
  1. In the meeting card posted.

Media files in a channel or group chat

To view your meeting recordings in a channel or group chat, do the following:
  1. Go to the channel or group chat you had the meeting in and select Actions in the bottom-right corner.
  1. Click on "View Media Files" and select the "Recordings" tab. You will be able to view all the meeting recordings. Here, you can search for a meeting using the title, filter based on whom the meeting was recorded by, search for a meeting that occurred on a specific date, and select the view of the recordings listed.

Meetings in the navigation sidebar

To view your meeting recordings from the meetings tab in the navigation sidebar, do the following:
  1. Go to "History" in the navigation sidebar and select the "Meetings" tab.
  1. All your meetings will be listed here. If the meeting is recorded, you will be able to see the "Rec" optionon selecting the option, you will be able to see the recording.

To view your meeting recordings from the files tab in the navigation sidebar, do the following:
  1. Go to "Files" in the navigation sidebar and select the "Recordings" tab.
  1. All your meetings will be listed here.

Options in a recorded meeting 

When you hover over a recorded meeting, you will find the following options:
  1. Download - You can download meetings in the mp4 format.
  1. More actions - If you are the host of the meeting, you will be able to share, rename, copy permalink, view transcript and delete the recording. However, participants of the meeting will be able to copy permalink and view transcript.
Share
You can share the recording of the meeting you hosted with other participants or org users.
  • Once you select "Share", you can search and add participants you want to share the recording with.
  • Select "get shareable link" to share the recording using a link. Here you can password protect the recording and also set an expiration date. Select the "Copy URL" button to copy the link and share across users.

    Note:
    When you share a password protected recording to a user, they will have to enter the password to access it.

  • Once you have added users to the list of participants, you can also revoke their access to the recording.

Rename
By default, the recording name is the same as the title of the meeting, but if you want to rename it, you can do so using the rename option.
 
Copy permalink
You can copy the permalink to send to other participants in the meeting or users who have access to it.
 
Meeting Transcript and Summary: (available for US, IN, AU, EU DC)
If you are an admin, you can enable meeting transcript and summary for recorded meetings.
To enable meeting transcript and summary, do the following:
  1. Navigate to the "Admin Panel". Under "Organization", go to "Configurations" and select "Zia".
  1. Enable transcript for recorded meetings and summary of meeting transcript and action items.


Notes

Note:

  1. When transcript is enabled and summary is disabled: Only the meeting transcript will be generated.

  1. When transcript is disabled and summary is enabled: Both the meeting transcript and summary will not be generated.

  1. When both transcript and summary are enabled: Both the meeting transcript and summary along with actions items (for host and co-host) will be generated.

  1. If you want to  enable meeting summary and action items using Open AI, the Open AI API key needs to be activated.

 

Once the admin has enabled the configuration, a user who starts the channel can set if they want the meeting transcript and summary to be generated for the meeting under Permissions. Here, enable the toggle button for "Generate transcript and list of action items for recorded meetings."

 

View transcript

You can view the transcript in the "More Actions" of "Meeting Recordings" preview or in the "Meeting Recording Player". You can also view the transcript under the summary.
When you select view transcript, a transcript of the meeting will appear in text format. 


Delete
As a host of the meeting, you can delete the recording. The summary of the meeting will still be available but the transcript will be deleted.

 

Summary

You can view the summary outline in the following ways:
  1. In the message card inside the chat where the meeting is hosted, select "View summary".
  1. Go to "History" and select the "Meeting" module.
    In the list of meetings, select the meeting that you want to view the summary of.
    For host and co-host:
    If you are a host or co-host of the meeting, you will be able to view the action items of the meeting.
  1. Select the "Files" module, and go to "Recordings". Select the kebab icon and select "Meeting info".
  1. In the overview tab, you will find the summary of the meeting.

Action items

Actions items in a meeting display the action points of the meeting. This is visible only to the host and co-host of the meeting. You can select "Ignore All", if you do not want the action items to be displayed.


Recording player

When you play a recording, you will find the following options: rewind/forward 5 seconds, play/pause, transcript, download, miniplayer/expand, picture in picture mode, and full screen. When you select transcript, the recording will be displayed in miniplayer and transcript will be displayed in the right side of the screen. You can also download the recording and adjust the playback speed. The transcript will have the following options:
  • SearchSearch for a keyword in the meeting transcript.
  • DownloadDownload the transcript as a text file.
  • Feedback: You can also share your feedback so that our team will take it into consideration when enhancing the feature.
