Different roles available in Zoho CommunitySpaces

Different roles available in Zoho CommunitySpaces

Overview

In this guide, you'll know about different roles and permissions in CommunitySpaces. The main roles are SuperHost, Host, and Member, with the option to create custom roles for specific needs.
CommunitySpaces offers distinct roles, each with its own set of permissions:
  1. SuperHost: Community creator with the highest level of permissions.

  2. Host: Manager with many permissions but some limitations.

  3. Member: General user with basic permissions for community participation.

  4. Custom roles: Other than the roles mentioned above, we also provide flexibility to create tailored roles and permissions for specific users.

SuperHost

SuperHost is the creator of the community and has the most permissions available in the community.
Notes
A community can have only one SuperHost.

What can a SuperHost do?

  • Upgrade or adjust the community's subscription plan to unlock more features
  • Add and configure paid membership in Spaces to access exclusive content
  • Delete the community entirely, if required
  • Invite, remove, enable, disable, and manage members and their roles
  • Manage and moderate content shared across the community
  • Customize the community's appearance, set up a dashboard, and manage community-wide permissions
  • Create, personalize, and publish a landing page for the community
  • Add web tabs, enable/disable features and apps in the community

Host

Hosts manage daily activities within the community and help oversee member interactions but have a few restrictions compared to the SuperHost.
Notes
A community can have more than one host based on their subscription plan.

What can a Host do?

  • Configure community settings, create spaces (excluding paid spaces), add web tabs, and manage the community's appearance
  • Invite and manage members in the community
  • Remove inactive users
  • Configure apps, like setting up a Manual with articles for easy access to resources
  • Edit and customize the landing page to align with the community's purpose

  • Create events, posts, share ideas, ask questions, and make announcements

What can't a Host do?

  • Change or upgrade the community's subscription plan.
  • Set up or manage paid membership options.
  • Delete the community

Member

Members are regular users who can engage in conversations and participate in community activities but have limited management permissions.
Notes
SuperHost and Hosts can convert a Member into Host if required.

What can a Member do?

  • Share posts, create polls, create events, and write forum posts, and share ideas in the community
  • Add private web tabs to their personal projects or relevant resources

What can't a Member do?

  • Invite others to the community unless granted access through custom roles
  • Create new spaces (but can participate in existing ones)
  • Create manuals without provided permissions
  • Host town hall meetings but can join them
  • Create new categories, start broadcasts or video conferences without permission
  • Post community-wide announcements

Custom Roles

SuperHosts and Hosts can create custom roles and assign specific permissions to individual members, enabling tailored access based on specific needs.

What features can be allocated to custom roles?
  • Ability to manage specific private Spaces
  • Ability to moderate public Spaces within the community
  • Create and use templates in Boards
  • Organize new categories in the Forums
  • Ability to host and manage Town Hall meetings.
  • Create articles and publish them in Manuals
  • Can assist with inviting and managing new users in the community

With these flexible roles, you can ensure a well-organized, secure, and collaborative environment for your entire community.
