Enabling and using Zia Writing Assistant
Understand what Zia Writing Assistant does
Open Community Settings and go to Zia > Writing Assistant to enable AI-powered writing support across your community.
Zia Writing Assistant helps members write better content by generating drafts, suggesting titles, checking grammar, rephrasing text, and adjusting tone or length. For a superhost, this is useful when you want to improve content quality across the community and make it easier for members to create clearer, more polished posts.
Once enabled for the community, members can use Zia anywhere a rich text editor is available.
Only superhosts and hosts can enable or disable Zia Writing Assistant in a community.
Enable Zia Writing Assistant
To enable Zia:
- Open Writing Assistant under Zia.
- Use the toggle to turn the feature on.
This activates the writing assistant feature at the community level, but Zia will work fully only after the required API key is configured.
Acknowledge the privacy notice and proceed
When enabling Writing Assistant, a privacy information popup appears before setup continues.
Review the message and click Proceed to acknowledge the integration terms and continue with the setup.
This popup informs users that:
- The service is based outside their region
- Zoho CommunitySpaces uses the OpenAI ChatGPT API for this integration
- Only the text entered in the query box is shared for processing
- Users should exercise caution when entering confidential or personal information
By clicking Proceed, the user acknowledges and accepts the terms and conditions of the integration before continuing with Zia Writing Assistant setup.
Configure the ChatGPT API key
After enabling Zia, the next step is to configure the ChatGPT API key so the writing assistant can work inside the editor.
Under Configure:
- Click Add API key.
- In the popup, choose whether to:
- Create a new API key
- Use an existing key already configured in another Zoho service
- If you are adding a new key, paste the API key from your ChatGPT account.
- Click Save.
Once the key is added, the Zia icon will appear in the editor for community users.
For a superhost, this is the setup step that actually connects AI assistance to the writing experience across the platform.
Understand where members can use Zia
Once enabled, members can use Zia anywhere a text editor is available in the community, such as:
- Feeds
- Spaces
- Forums
- Manuals
- Townhall
This makes Zia useful across both everyday conversations and more structured long-form content. It helps a superhost improve content quality consistently across multiple modules instead of only in one writing area.
Use Zia to generate new content
To generate content from scratch:
- Click the Zia icon in the editor.
- Enter your prompt.
- Click Generate.
After the content is generated, you can continue refining it by using options such as:
- Regenerate
- Change Tone
- Change Length
Once satisfied, click Move to editor to insert the generated content into the editor.
This is useful when members want a quick first draft, need help framing an announcement or discussion, or want to reduce the effort of writing from scratch.
Use Zia to improve existing content
Zia can also help improve content that members have already written.
To do this:
- Write the content in the editor.
- Select the portion you want to improve.
- Click the Zia icon.
- Choose the action you want to perform.
Members can use Zia to:
- Check grammar
- Rephrase
- Suggest title
- Change tone
- Change length
After the result is generated, members can choose whether to:
- Replace the selected content
- Append the generated result into the editor
This helps members refine their writing without rewriting everything manually, and it makes the overall community content feel more polished and easier to read.
Disable Zia Writing Assistant
If you want to turn the feature off later:
- Go back to Community Settings > Zia > Writing Assistant.
- Use the toggle to disable it.
This removes AI writing assistance from the editor experience across the community.
