You can import contacts to the PERSONAL or ORGANIZATION categories in Zoho Contacts from external sources such as Google, Microsoft, or local files (CSV, VCF, or LDIF).
In the ORGANIZATION or ORG GROUPS section, only the organization admin or group admin can import contacts into the respective categories.
For Organization users, the organization admin can set up and enforce policies that can restrict you from importing or exporting contacts in your organization. If the import or export option is not shown, contact your administrator for clarification.
Zoho Contacts allows you to import contacts from Google. The import behavior differs based on whether you import contacts to the PERSONAL or ORGANIZATION section.
Personal Section
When importing Google contacts into the Personal section, you have two options:
- Connect to your Google account and import
- Performs a one-time import of all your Google Contacts into Zoho Contacts. After the import, changes made in Google Contacts will not be reflected in Zoho Contacts.
- Sync contacts from Google
- Enables a two-way sync, which automatically keeps your Google Contacts and Zoho Contacts updated. Changes made in either account are synced at regular intervals.
When two-way sync is enabled, a toggle is displayed on the Import Contacts page. You can toggle ON to enable syncing or OFF to disable it at any time.
To import,
- Go to contacts.zoho.com.
- Select the category where you want to import the contacts.
- Click the
icon and select Import.
- Click Google as the import source.
- Choose either Connect to your Google account and import (one-time import) or Sync contacts from Google (periodic sync).
- Read and acknowledge the checkbox to continue.
- Click Import.
- Sign in with your Google credentials when redirected.
After the import is complete, you can click Import More to initiate another import to add more contacts.
Organization Section
For the organization, only a one-time import is supported. Contacts are imported once, and changes made in Google Contacts will not be reflected in Zoho Contacts.
- Go to contacts.zoho.com.
- Select the category where you want to import the contacts.
- Click the
icon and select Import.
- Click Google as the import source.
- Sign in with your Google credentials when redirected.
After the import is complete, you can click Import More to initiate another import to add more contacts.
To import contacts from your Microsoft account,
- Go to contacts.zoho.com.
- Select the category where you want to import the contacts.
- Click the
icon and select Import.
- Click Microsoft as the import source.
- Signin with your Microsoft credentials when redirected.
After the import is complete, you can click Import More to initiate another import to add more contacts.
Zoho Contacts supports importing contact files stored locally on your desktop in the following formats: CSV (UTF-8 encoded), LDIF, and VCF.
- Go to contacts.zoho.com.
- Select the category where you want to import the contacts.
- Click the
icon and select Import.
- Click Local File as the import source.
- Choose the file from your desktop.
If you're uploading a .csv file, ensure it's UTF-8 encoded.
If you're importing a CSV file,
- You can map the details from the .csv file to the respective field in the Field Mapping page. You can also edit details based on your need from the dropdown of each field.
- You can also unmap specific details from the .csv file to import the desired data.
- If a contact satisfies all the conditions, it will be imported. If not, it will be skipped.
After the import is complete, you can click Import More to initiate another import to add more contacts.
You can import up to 5,000 contacts at a time. If you have more than 5,000 contacts, split them into multiple files and import each file separately.
You can export contacts from Zoho Contacts to different file formats such as CSV, VCF, LDIF, HTML, and Outlook CSV. You can provide secure access to your exported files using a password.
- Go to contacts.zoho.com.
- Click the
icon and select Export. (Make sure you don't select any contact.)
In the pop-up, choose the branch, category, and export format.
- If you want to secure access to your file, select Secure the contacts file with a password and enter the password.
- Click on Export Contacts.
The password set while exporting will be needed to open the downloaded file.
