How to organize contacts using categories in Zoho Contacts

In Zoho Contacts, you can organize and manage contacts using categories. You can create categories under both the PERSONAL and ORGANIZATION sections.

Only admins of the respective group or organization can create categories in the ORGANIZATION and ORG GROUPS section.

Create category

  1. Go to contacts.zoho.com.
  2. In the left panel, under the PERSONAL or ORGANIZATION section, click Add Category.
  3. Enter the name of the category.
  4. Click Save, and a pop-up with the list of contacts appears. Select the contacts you want to add to the category.
  5. Click Add.

Add new contacts to a category

  1. Click the category where you want to add the contacts.
  2. Click the  icon in the top menu bar.
  3. Enter the details of the contact and click Save.

Add existing contacts to a category

Admins can move contacts from the PERSONAL category to the ORGANIZATION category, as well as between the ORGANIZATION categories.
You can move contacts to categories using the following methods:
Method 1
  1. Select a contact from any category.
  2. Drag and drop the contact into the category you want to move it to.

Method 2
  1. Go to the specific category, click the  icon in the top menu bar.
  2. Select the contacts and click Add.

Method 3
  1. Select the contacts you want to add.
  2. Click the  icon in the top menu bar.
  3. Select the category to which the selected contacts has to be moved.

Remove contacts from a category

  1. Select the contact you want to remove from a category.
  2. Click the  icon in the top menu bar.
  3. Click OK in the pop-up window.

The contacts will be removed only from the individual category, but it will still remain in your personal space.

Rename a category

  1. Right-click on the category you want to rename.
  2. Click Rename, enter the new name.
  3. Click Save.

Export contacts from a category

You can export contacts from a category to download and store them in a file.
  1. Right-click on the category from which you want to export the contacts.
  2. Click Export, then select the required export format.
  3. To secure the exported file, select Secure the contacts file with a password.
  4. Enter the password. This password will be required to open the downloaded file.
  5. Click Export Contacts.

Delete a category

To delete a category:
  1. Right-click on the category you want to delete.
  2. Click Delete.
To delete all categories in a branch:
  1. Right-click on My Contacts or Org Contacts.
  2. Click Delete Categories.
