Overview

Zoho Contacts is a centralized repository for all of your business contacts. One of its principal functions is to store and manage your contacts with your business associates. You can also create branches to organize your contacts.

Features of Zoho Contacts

  • Organize and categorize contacts in Personal, Organization and Org Groups
  • Access your Zoho Contacts directly or through Zoho Mail or Zoho One
  • Add, delete, edit and merge contacts
  • Fetch contacts from third-party service providers like Gmail and Outlook
  • Sync contacts with your Google contacts, computer, and mobile phones
  • Export contacts from Zoho Contacts in  various formats such as CSV, VCF, HTML, Outlook CSV, and LDIF
  • Copy contacts between different categories just by drag and drop
  • Sort contacts in alphabetical order using the first or last name
  • Search within Zoho Contacts using name, email address, or any other contact fields
  • Store up to 25000 of your contacts in Zoho Contacts by default and increase the limit upon necessity

  • Zoho Contacts is not integrated with Zoho CRM and Zoho Contact Manager. Only the administrator or moderator of the respective group or organization can add, delete, edit contacts.

Thanks for this list of features. It is good to see that Zoho is taking this essential feature seriously. 

I was trying to figure out useful ways to use "categories" in the in Zoho Contacts part of Zoho Mail. To me this is a really poorly implemented feature, or perhaps I am missing something.  Hopefully we can develop a discussion here on how to use it successfully.

First - my criticisms:
- Drag-and-drop into categories does not work through the mail.zoho.com interface, only to contacts.zoho.com interface.

-Even with drag-and-drop through contacts.zoho.com the process to add contacts to categories is slow and not very intuitive. If you do not even have drag and drop the process is "search for contacts > click on the check box of the contact he wants to add to a category > click on "Add To" icon at the top > select the category to add the contact" (quoted from a support ticket). That is not feasible for more than a few contacts at a time.

- Imports that contain existing contacts do not offer a way to add the existing contact to the category. It is either skip or overwrite, and it is one decision for the entire import, not on a record by record basis. This is an easy way to accidentally lose contact info.

- If you click "+" to add a contact but the contact already exists, there is no option to quickly add the contact to the category. It says "contact already exists" and offers to view the contact. However, even if you view the contact, there is no quick way to add that contact to the category.

I appreciate that one of the goals in Contacts is to keep one contact record that can be added to multiple categories, and it can be updated once for all of the categories. This is a great feature, and it certainly has advantages over simpler tools (such as the address book in the open source email client, Thunderbird). However, some lessons could certainly be learned from their ease of use.
