You can personalize your communication and strengthen your brand identity, you can configure a custom sender email address and sender name for your hub. All emails from your hub/portal except hub invitations will be sent using the configured sender email address.
Users will not be able to reply to the emails send from custom email IDs.
Why use custom email
- Improve brand recognition by sending emails from your organization's domain.
- Provide learners with a recognizable sender address.
- Maintain consistent branding across all hub communications.
Set up a new custom email
Navigate to Hub Settings and click Custom Email.
Click Add New Email.

Enter the following details:
- Custom Email Address – The email address you want to use as the sender address.
- Custom Sender Name – The sender name displayed to recipients.
Click Next.
Navigate to Hub Settings and click Manage Portals.
Choose the portal from the list of portals.
Select Custom Email.
Enter the following details:
- Custom Email Address – The email address you want to use as the sender address.
- Custom Sender Name – The sender name displayed to recipients.
Click Next.
The setup process includes two verification steps to confirm domain ownership.
Step 1: Verify Your CNAME Record
Add the CNAME record provided in the setup wizard to your domain's DNS settings.
After adding the record:
- Return to Zoho Learn.
- Click Verify.
If the verification is successful, proceed to the next step.
Step 2: Verify Your DKIM Record
Add the DKIM record provided in the setup wizard to your domain's DNS settings.
After adding the record:
- Return to Zoho Learn.
- Click Verify.
Once verification is complete, your custom email configuration will become active.
DNS changes typically take effect within 10–15 minutes. However, depending on your DNS provider, propagation may take up to 48 hours.
Use an existing custom mail
If you have already configured a custom email address for another portal within the same hub, you can reuse it instead of creating a new one.
Click Set Up Custom Email.
Select Choose Existing Email.
3. Choose an existing verified email address from the list.
4. Optionally, configure a custom sender name.
5. Click Save.
Manage a custom email
After setup, all emails except hub invitations will be sent using the configured sender email address.
To modify your configuration:
Navigate to Settings and click Custom Email.
Click Edit.
3. Update the sender name or eligible email settings.
4. Click Save.
- A domain can only be managed by the administrator who completed the verification process.
- If a domain has already been verified by another administrator, you'll see a message indicating that the domain is managed elsewhere. Follow the provided verification instructions to prove ownership before using the domain.

How long does verification take?
Most DNS updates are detected within 10–15 minutes. In some cases, verification may take up to 48 hours.
What happens if I delete my custom email?
Your hub automatically reverts to using the default email address as the sender address.
Can I edit a verified domain?
You can edit a domain only before DKIM verification is completed. After DKIM verification, only the sender name can be modified.
