Article external sharing
The external sharing feature lets users in your organization share individual articles with people outside the organization. You can create a public URL for the article and share the URL for users who want to access it.
To create external URL for individual articles:
- Click the More Options icon (
) on the article.
- Click External Sharing.
- Enable Article External Sharing.
- Click Copy in the Share URL section to copy the URL to your clipboard. Users can access the article with the URL.
Zoho Learn offers enhanced access control features to ensure authorized access to your articles. You can set a password, which is essential to access the content when attempting to open the URL. There's also an option to set an expiration date, after which users cannot access the article's content.
To set the password and expiration date:
- You can set the password and expiration after enabling external sharing on the Manage external sharing pop-up.
- To set password, enable Password Protection and enter the password.
- To set link expiration, enable Link Expiration and set the date.
- Click Update.
After enabling external sharing for an article, you can copy link, manage the settings, or disable external sharing.
- Go to the article, and click the More Options icon (
), then click External Sharing.
- To copy link, click Copy link.
- To manage external sharing settings, click Manage.
- To disable external sharing, click Disable.
Article external sharing is available only in our Express plan.
