Publishing and Unpublishing Articles

You can choose to save the article that you have created as a draft. Articles in draft will be accessible only to contributors and admins of the manual.These articles will be visible to readers only after they are published.

Publishing an article 

Publishing an article allows readers to access your article. You can publish your article with or without notes, and with or without notifying members.

 To publish an article without notes: 

  1. Navigate to the article.

  2. Click on the Edit () icon to the right of the article view.


  1. Click Publish at the top-right corner of the article.


Publishing an article with notes 

You can add notes to inform others about any changes made in the article.

 To publish an article with notes: 

  1. Navigate to the article and click the Edit () icon to the right of the article view.

  2. Select Publish at the top-right corner of the article, then select Publish with version notes to publish the article with notes.

  1. To see a preview of the article, click Preview at the top-right corner of the article.

Publishing with/without notifying

To publish with/without notifying members and followers: 

While notifying users is important for maintaining engagement and transparency, there are scenarios where publishing without prior notification can be beneficial for testing, quality control, or strategic reasons. In Zoho Learn, you can publish an article with or without notifying your members.

Select Publish without notifying to publish the article without sending any notification to manual members and followers.

 Unpublishing articles 

When you unpublish an article, it will be moved to drafts, and readers will lose access to it until it's republished, but the article will still remain accessible to other contributors and admins in the manual.

 To unpublish an article: 

  1. Navigate to the article.

  2. Click the More Options ( ) icon to the right of the article, then click Unpublish.
