Setting up a seamless flow between Projects and Sprints

Zoho Projects Plus offers a flexible platform where teams can use Projects and Sprints together for hybrid projects or independently for linear projects. Based on the organization's requirements, we can auto sync the projects, assign permissions to sync tasks, and also map task status with item status. All of this can be set up from Projects by the administrator.
 
We recommend completing this setup before creating hybrid projects, in order to ensure seamless flow of information between Projects and Sprints.
 

Projects and Sprints permissions   

Setup permissions for different user profiles allowing a two-way sync between Projects and Sprints. Here are the permissions that you can provide:

Zoho Projects Permission 

  1. Add Project to Zoho Sprints: Allow user profiles in Projects to add projects to Sprints
  2. Add Task (as Item in Zoho Sprints): Allow user profiles in Projects to add tasks as items to Sprints
  3. Add Issue (as Item in Zoho Sprints): Allow user profiles in Projects to add issues as items to Sprints

Zoho Sprints Permission 

  1. Add Project to Zoho Projects: Allow user profiles in Sprints to add projects to Projects
  2. Add Item (as a Task/Issue in Zoho Projects): Allow user profiles in Sprints to add items as tasks or issues to Projects

 

Configure Project and Sprint permissions 

  1. Navigate to the Directory and select Projects Settings in the left panel.
  2. Go to Marketplace and select Installed Apps.
  3. Select Zoho Sprints.
  4. Under Configuration, update the required permissions for user profiles.
 

Form sync settings 

When a new project is created in Projects or Sprints, the project creation form displays an option to add the project to the other application as well. This is displayed in both Projects and Sprints, and is enabled by default in Sprints.
 

 
You can enable this option for Projects to automatically create new projects, tasks, and issues in Sprints each time they are created in Projects.
  1. Navigate to the Directory and select Projects Settings in the left panel.
  2. Go to Marketplace and select Installed Apps.
  3. Select Zoho Sprints.
  4. Under Form Sync Setting, toggle the button to enable or disable various options.
  5. Click Update.
  

Status mapping 

Zoho Projects Plus allows tasks or issues in Projects to be synced with work items in Sprints. Tasks in each project are configured with a defined set of statuses and mapping them to work items requires equivalent statuses as well.
 
Status mapping helps you align statuses between tasks/issues and work items by mapping existing statuses or adding new ones.
 

 
  1. Navigate to the Directory and select Projects Settings in the left panel.
  2. Go to Zoho Sprints Settings.
  3. Select a project from the dropdown at the top.
  4. Select the item status from the dropdown, or add a new status to map with the task and issue status.
  5. Click Update.
 

Sync between Projects and Sprints 

As hybrid projects involve execution from both Projects and Sprints, the system syncs all major modules in both applications. Here is the list of Projects features synced to Sprints:
  1. Project templates
  2. Time log
  3. Users
  4. Teams
