Text summarization in documents via Zia using ChatGPT

In today's fast-paced business environments, business owners and stakeholders often deal with more paperwork than they may necessarily have time for. This can often lead to transactions and services stalling when a simple signature or two would have them up and running. Paperwork is tiring and cumbersome, but also mandatory in nearly every industry. In scenarios where signatories, approving authorities, and the transacting parties are already aware of the terms of an agreement or a deal, their time could be put to better use than having them go through lengthy paperwork. 

Zoho Sign now leverages an integration with ChatGPT via Zia to help recipients tackle this situation by offering a quick contextual summary of the documents sent to them for signatures or approval. This works by permitting ChatGPT to read the pages of a document for which a recipient requests summarization and produce a quick synopsis covering only the key points in the agreement or the contract for them to review. In this case, using the OpenAI platform's deep generative AI capabilities allows documents to be summarized without altering the context or the tone from the original text. So, a two-or-three page document can easily be reduced to a paragraph-sized summary in a matter of seconds that can help recipients save several hours of work on a daily basis.

To enable this feature within Zoho Sign, you must integrate your Zoho Sign account with the OpenAI platform. You can learn how to do so here.
  1. You must have an OpenAI account to use this integration.
  2. You need to generate and bring your own API key from the OpenAI platform to connect it with your Zoho Sign account. You can generate your OpenAI API key here.
  3. Zoho Sign extracts document data and shares it with the OpenAI platform for processing using the configured OpenAI API key. OpenAI will process this data in accordance with their Privacy Policy. The extracted data that is shared with OpenAI and the response received from the platform are strictly not stored by Zoho Sign on its servers.
  4. The size of the text from documents that can be sent to ChatGPT for summarization is presently capped at 12,000 characters. For longer documents, recipients can choose to generate multiple summaries by specifying the ranges of pages they wish to quickly review.

How can recipients request a summary of text in documents?

Please note that this action can only be performed by recipients at the time of signing, approving, or viewing a document sent to them. Summaries cannot be generated outside of the document viewer.
  1. When signing, approving, or viewing a document sent via Zoho Sign, select the Summarize document option from the More actions dropdown at the top-right of the Document Viewer screen.
  2. Select the document (if there are multiple documents included in the signature or approval request), and specify the range of pages to extract contents from and produce a summary.
  3. Click Summarize.
