Zapier actions available only in Enterprise/API plan - consumes Zoho Sign credits
Zoho Sign is now available for use inside the popular and powerful integration platform Zapier. This allows you to connect Zoho Sign with 1500+ external web applications to generate documents, collect signatures, and do much more using automated workflows.
The primary advantage of using a digital signature application like Zoho Sign is that you can massively reduce the paperwork processing time and associated administrative costs by going paperless with e-signatures and digital sign workflows. However, whenever a piece of paperwork is completed or needs to be initiated, there are other engagements that precede this or serve as follow-ups that complete the business operations cycle. Be it sending an email, setting up a task for your agents, getting additional documents signed, creating bookkeeping records, or processing payment, all of these require manual intervention.
With Zoho Sign + Zapier, you can easily build zaps that help you automate these tasks by connecting your digital applications. This can, therefore, reduce your overall business processing time and boost your productivity.
Prerequisites
- A valid Zapier account
- A valid Zoho Sign account
- Zaps that send documents for signature require Enterprise or API plan with Zoho Sign credits - Zoho Sign credits can be be purchased as add-ons and each document signature request sent out consumes Zoho Sign credits. - Zaps that utilise Zoho Sign triggers work across all plans including the Free edition.
What’s a Zap?
A zap is an integration, or a workflow, created using Zapier between two or more applications that automates a series of actions (tasks or functions) based on conditions known as triggers. Zaps can be set up in minutes with no coding, and they can automate your day-to-day tasks by building workflows between apps that otherwise wouldn't be possible.
For example: An integration where whenever a new lead gets added to your CRM, it triggers a document to be sent to them for signature from Zoho Sign.
What’s a trigger?
A trigger is an event-based condition that, when satisfied, carries out one or more actions. When creating a zap in Zapier, you must set a trigger condition by picking one from the list of trigger events supported by the chosen application. Each trigger, when satisfied, also passes information associated with that particular event onto Zapier to use in the follow-up action.
Zoho Sign presently supports five triggers in Zapier based on the interactions a document has had it with its recipients.
- Document Declined - Triggered when a document signature request is declined by a signatory.
- Document Completed - Triggered when a document sent for signature is completed i.e. has been signed by all the signatories and approved by all approving authorities.
- Document Signed - Triggered when a document sent for signature has been signed by one of the signatories involved.
- Document Expired - Triggered when a document signature request has expired.
- Document Recalled - Triggered when a document sent for signature has been recalled by its owner.
Thus, you can establish follow-up actions within other applications when one of these events take place in your Zoho Sign account.
What are actions?
Actions are tasks or functions carried out by the other application(s) in a zap by when the trigger condition is satisfied. It is mandatory to have at least one follow-up action to a trigger in a zap, although there can be more spanning multiple applications. The information obtained by Zapier from the trigger application is sent to be used in the action application.
Zoho Sign presently supports one action that can be carried out using a Zapier zap.
Send Template - Sends out a pre-filled document template for signature.
To use this action, you must already have templates present in your Zoho Sign account. In order to pre-fill a template with information obtained from the trigger application, it must contain fields under the 'Prefill by you' section. Steps to create a zap
Creating a zap requires NO coding knowledge and you'll be walked step-by-step through the setup.
- Authorize Zapier to access Zoho Sign and the other application(s) you'd like to build zaps with.
- Click Make a Zap! on your Zapier dashboard and select two or more applications to connect—at least one of which is Zoho Sign—using a trigger condition that is followed by the action(s).
- Configure the trigger - choose the trigger app and event. Test the trigger for sample data. If the trigger application is Zoho Sign, choose the trigger event.
- Configure the action(s) - choose the action app(s) and the action(s) while passing on any information obtained from the trigger app. Test the action(s) for sample data. If the action application is Zoho Sign, choose the action to be performed.
- Name the zap and switch it on.
Steps to authorize Zapier to access Zoho Sign
To start creating zaps with your favorite apps using Zoho Sign’s predefined triggers and actions, you need to authorize Zapier to access your Zoho Sign account.
- Log in to your Zapier account or create a new account.
- Click My Apps on the top navigation menu bar.
- Click the Connect a new account... dropdown.
- Search for Zoho Sign and select the application from the dropdown.
- Enter your Zoho credentials in the Zoho Accounts login page that pops up and sign in to your account.
- Click Accept to grant Zapier access to your Zoho Sign account to fetch data and perform other tasks.
- Once that's done your Zoho Sign account will be added to your Connected Accounts section and you can test it to check if it's properly connected.
- If the connection has been successfully added, you can start creating an automation!
