Setting up your Zoho Sign account- Signature profile

Signature profiles let you create and save more than one signature setup in Zoho Sign. Each profile holds a signature, initials, an organization stamp, and profile details like your company and job title — so you can keep separate profiles for the different capacities in which you sign, and pick the right one when signing a document.

Setting them up in advance lets you sign faster, keep your signatures consistent, and rely on your default profile, which is applied automatically.

Consider a scenario where you usually sign documents on behalf of your company, but occasionally sign in a personal or client-facing capacity. Set up a profile for each, and mark your most-used one as the default — Zoho Sign applies it automatically. Whenever a document calls for a different one, you simply switch to that profile manually, with no need to edit your details each time.

Viewing your signature profiles

Each profile appears as a card showing its Signature, Initials, Organization Stamp, Company, and Job title. The profile currently in use is marked as DEFAULT.

How to create a signature profile

You will be able to create a maximum of 5 signature profiles per user account. To create a signature profile,
  1. From your Zoho Sign dashboard, hover over Settings and click My profile.
  2. Go to the Signature profile page and click + Add signature profile.
  3. Under Signature & Initial, create your signature and initials using one of the three tabs: 
    a. Type — enter your name in Signature and your Initial, then pick a style from the options shown.
    b. Draw — draw your signature and initials in the boxes provided; choose a pen colour (black, red, blue, or green), and use Clear to start over.
    c. Upload — drag and drop, or click Choose image, to upload an image for your signature and initials. 
  4. Under Stamp, click the box to add an organization stamp. 
  5. Under Profile Details, enter:
    a. Profile Name (required) — a name to identify this profile.
    b. Company and Job title, if you want them on your signature.
    c. Date format — the format used for the signing date.
    d. Your First name, Last name, and Time zone are carried over from your account.
  6. To make this your default, check the box near Set as default signature profile.
  7. Click Add.



How to edit or delete a signature profile

  1. On the profile card, click the three-dot menu.
  2. Select Edit to update the signature, stamp, or details, or Delete to remove the profile.



How to choose a signature profile while signing a document

  1. When you sign a document, your default signature profile will be applied. To change the signature profile for that document, click on the field and select Edit.
  2. Here you can choose the portal and the signature profile present in that portal. You can make further edits if needed and click Use.



  3. You will also be able to change a signature profile when you bulk sign documents. 



Notes
The edits you make to a signature profile while signing a document will not be reflected in the saved signature profile in your Zoho Sign portal.
